Tracking Thank You Calls

Hi folks,

I would love to hear your best solutions for tracking TY calls in Tess. I'm coming out of RE, where I just had a "acknowledged" check box I could click on each gift. I would pull a report showing all gifts that didn't have that box checked, and give it to my volunteers to start making TY calls daily/weekly. Then they either clicked the box, or if there were lots, I could do a global change to that list of gifts.

Plan Steps and CSI's are both a bit too cumbersome for this considering the volume and I need it to be something I can easily train a volunteer to do.

I would love to hear how anyone else does this!

  • Aldera you can create a custom field on the contribution record, that could be a yes, no if you need it to mark each contribution. Or, if you only need it marked on the constituent you could create an attribute yes/no.  I can help you with either one if you need help setting them up.

    Hi Terry, it would have to be on the contribution, as the yes/no would vary by gift, so if I had it on their constituent, I wouldn't be able to tell if their most recent gift had been thanked or not. If it goes into a custom field, can I report on it with something like "show all contributions in date range x that do not say Acknowledged"? (Or similar?) 

  • Yes, you would create a list to pull those you need then can run a report off that list.  Or I have a custom report for a custom filed and could put one together for you in short time if needed.

    I don't have capability to add custom reports, those all have to go through our IT folks - it's something I can request from them, but I likely won't be able to get it set up in the near future. But thank you!! I need to be able to come up with something as "out of the box" as possible, if that makes sense.

  • Will creating a list from the custom area and using it in a report work for you?   You could make the list dynamic so you would only have to create it once.   Then find which report works best to give you the data you need.  Are you on Version 14, you could create an output set on that list to give you the fields you need and not use a report at all.

    We are still on 12 for a bit yet. I haven't had any luck finding reports that use those fields, but I'm sure there is one somewhere!

  • I don't believe there is a standard report that uses the custom fields even in 14. What i'm suggesting is you create a list that has a criteria that the customer field  = acknowledged. Then add other criteria such as contribution between dates or since a particular date or use relative dates.  This would be your dynamic list and then you could use perhaps the New Contribution report  with  the same dates or relative dates and use the list in that report where it will only pull data for those on the list.   The list could be set as dynamic and the report scheduled to run daily  and sent out to those who need it.  All this can be done on 12.

    Yes, I am good with tables, so I can update that part (99% sure!). Scheduling that report would be ideal, I think that will work for me, thank you! We  do use Plans heavily so for my major donors, plan steps would work, this will be a nice simplified system for my Annual Donors to ensure they get that stewardship touch-point as well.
