Activities for Special Events

Does anyone regularly use Activities to track attendance/donor interactions can share some helpful tips, hints, mistakes, etc? We are going to use Activities to track attendance to an upcoming donor event. We will use elevated events next year for this event. Appreciate your thoughts!

  • Hey Ashley,

When I worked at Tulsa Ballet, I actually made fairly extensive use of Activities to track attendance and interactions at our unpaid events when it made sense; for example, we'd track Board Meetings in this fashion, as well as any events that generated invitations for somebody to attend as a membership benefit they'd already paid for.

At TLCC 2017 I submitted a Mini-Magic about a barcode "hack" I created to track attendance using activities which might give you some additional ideas about how these can work (and make life a bit easier): https://www.tessituranetwork.com/Passthrough?itemUri=/tlcc/2017/Mini-Magic/MM17-01.pdf

As I said in that file, I really liked developing additional attendance statuses so that I could track people who showed up without an RSVP or RSVPed and were a no-show, just to help develop some metrics that could assist in capacity planning and ordering for a more appropriate number of potential attendees.

Hopefully, this works as a jump-start to some other ways of thinking about Activities, and I'm happy to answer any other questions or have a further conversation if you're interested.

    Thank you,

    Brian

  • Great information! The Mini-Magic information was very helpful. Thank you, Brian!
