Subscription Add-On Donations

Hello All-

Our organization is fairly new to Tessitura (went live this past May) and our upcoming subscription renewal season will be the first where both ticketing and contribution data are in the same system, which is the biggest reason for our transition to TN. When we send subscription renewal forms, we include a spot for a suggested donation. In the past, I pulled the donor data from one system, marketing pulled the ticketing info from another, and we merged the lists together in Excel so each subscriber would get the appropriate ask amount. Once a gift came in, I was able to see it when processed by the box office but could adjust it as needed to track which segment the donor was a part of.

I am curious how other organizations handle these types of donations. I would like to track how each segment does (subscriber donor renewals, new, reinstated, etc.) from a development perspective, though the donations will be processed by the box office as renewal forms are received. What are best practices for tracking both the ticketing sales data that is needed by the box office/marketing, as well as donor data that is important to Development?

  • Hi Lindsay,

     

    We have the box office enter the donation in the ticket order as “On Account”.  Then for each patron/donor our gift entry person takes the money “off account” and enters as a contribution in Tessitura.  At that time, we can choose the desired segment using appeal/source codes.  Then we run the Revenue by Source and Appeal to track the contributions per segment.   • We also put our contribution money to On Account during the renewal process for the development team to code as they'd like. Our Appeal/Source setup doesn't track the subscriber category though (currently anyway, we are going to be revisiting our Campaign/Appeal/Source setup in the coming months). We can find that info other ways though. For renewals we have some different types setup in Subscription Summary that are selected by the box office at the time of renewal. We also use lists in many of our reports to help filter by the types of subscribers we're looking for.

  • Hi Lindsey,

    For a different perspective, we moved to the box office adding gifts that write "direct to fund" in the Contributions tab in the order. It means the order will have the same source/solicitor info as the subscription order. It means there isn't duplicate entry, and the main thing we had to put into place was a way for portfolio managers to see if a gift came in via their portfolio (when it was On Account, it was obvious during entry process, but not with direct to fund). 

    I like this method because it's far more efficient from an entry standpoint. It means that analysis has to be done separately, but I'm OK with that because it's not just gifts coming in through the ticket office - the web traffic has a number of transactions flowing through, so to depend on the source information had become unrealistic from an analysis standpoint.

  • Interesting. If you are not using source / appeals to analyze the different segments included in subscription add-on donations, what tools are you using?
