Non-Promoted Elevated Events

Is there a best practice for processing a ticket to an event (in elevated events) when the constituent was not part of the Save-the-Date or Invitation, so the elevated event hasn't been promoted to their record?

We have a fundraiser coming up that we have a select group of constituents receiving formal invitations, but the event is open to anyone who would like to purchase a ticket.

  • Hi Debbie,

When you enter the ticket purchase in contribution entry, assuming you apply it to the elevated event campaign, it will automatically create the event invite and mark it as attending, as you're entering the purchase.

  • Hey Megan -

So, do I not need to associate it to an appeal?  I guess I'm wondering if I have to manually promote the elevated event to each person who RSVP's, or if there is a workaround around that. Does that make sense?

  • Debbie -

We created a 'catch-all' source for the event RSVP's or sponsorships that come in, where the patron did not receive a Save the date or invitation mailing.  For instance, we have an 'Individual Solicit - Event' source, but you could name it 'walk-up RSVP' or 'RSVP no invitation', etc.

I believe you can also manually type in the source number when doing gift entry.  So if you know your source number is '1234' for your event invitation, then you can just type in '1234'.

  • No, once you select the fund/campaign associated with your elevated event, it will create an event record for that constituent. You can edit number of attendees, event level, etc. in contribution editor when you're processing payment.

(This is only for manually processing their entry/donation in Tessitura. If they paid online it would not trigger an event record. But that's true regardless if they have the promoted source). Good luck with your event!
