Hi - I'm wondering if anyone can share a way they ensure acknowledgement letters are not just attached to a contribution or pledge payment when entered in Tess, but also that they are mailed. Is anyone tracking the actual mailing out of letters in Tess? The audit acknowledgement letters report doesn't track this because the actual printing of the letter is not processed from Tess. Any tips would be great - thanks!
Off the top of my head using promotions or CSI depending upon the preference of organization. Of course any way you do it – you are dependent on staff (manual process). It sounds like you already are doing a mail merge to Word so the same file can be used to import as a list and then promoted in perhaps a specific Ack Fulfillment appeal.
The other way is to give more meaning to the Print Date. Meaning set the process to be done on a specific day each week and with understanding letters will be sent same day or within 2 days. Ticklers could used for this within a group – so the mailing task is set up and staff confirms its done. This would not be in each person’s record (Use a Department record).
