Membership expirations

Hi Tessitura Network,

I am curious about how other organizations handle multiple gifts from a member during a 1 year cycle.  We use a roundup option when one purchases a ticket to an event, as well as a contribution option.  Many of our members make multiple gifts in a year.  If one makes a membership-level contribution (we have numerous levels) and thus their membership expires 1 year from the date of the gift, but then makes a second membership-levle qualifying gift, although at an amount lower than their previous member-level but not enough to upgrade to the next level, do you you reset their membership and lower the membership level from the new gift date?  Or do you happily accept the gift and let their previous membership expire when it was scheduled to do so?  The second scenario would make sense if the second gift upgraded them to a new level, but allowing their membership to expire even though they've made a recent contribution doesn't seem right.

Thanks in advance for your thoughts and comments!

  • Thanks Laurel!  Very helpful.  I was looking at a specific individual who made a second contribution 4 months before their expiration date, albeit at a lower membership level.  They are now considered a lapsed member, but it seems to me they should be a current member until February 2017 (as opposed to being a lapsed member since July 2016).  I will likely change their record manually and include them in an upgrade appeal.

  • We have it set up as follows:

Let’s say someone makes a first time gift, it triggers a membership starting on the first of that month and lasting for 12 months. If they then make another gift through a cart round up or additional ask a couple months later, it is added to the current membership regardless of amount. If they make another round up gift within 3 months of their expiration date, it creates a new membership.  Part of why this works for us is because we have customized round up asks where if it is within 3 months of their current membership expiration date, the database/website know to ask for the renewal amount – it looks first for that amount from the plan “ask” amount and if there isn’t a plan, it looks at the most recent membership “recognition amount” (which we make sure is totaled correcting during gift entry).
