Use of Plans to keep track of Grants?

Greetings,

I have the fundraisers dream job: not only do I get to raise funds, but I also get to give them away!  As a Foundation, we have a number of grant recipients each year and I'm looking for a way to "bend" Plans for this purpose.  Is anyone doing this?  Care to share?

I'm looking to track specifics about the grant recipient, programs supported, the payment schedule, reporting requirements etc.  While all of this information is contained within the agreements with each grantee, I'm want to be able to pull reports about which grants will be made in a specific time frame, which reports I should be expecting that month etc, without always having to refer back to each individual agreement.

Any help would be greatly appreciated.

  • Hello!   I am a new Tessitura user, and have also just taken on the grant writing responsibility for our organization.  I, too, am interested in learning how others use Tessitura to track grant information, i.e. funder deadlines, areas of interest, proposals submitted, projects funded, deadlines for applications, standard reports you use, etc.   Your help is greatly appreciated.

    We only just got onto v.12 this month, so I have not really been using plans, but I have been tracking grants for six years in solicitations, and they all moved right over into plans. I imagine it will be similar with some added bonus flexibility.

    Maybe this will give you a helpful start:

    I use the Ask field for my ask amount, the goal field for my renewable amount (it stays zero for prospects), and the "by" field for the date by which I should know if we are being funded.

    STATUSES - I use the statuses to track where my proposal is in the process, ie. Research (It's an idea), Ongoing (active file - working on proposal), Pending (proposal submitted, waiting), Pledge (pledge commitment), Received (money in), Hold (this ask was planned, but it is internally on hold or ask made but Foundation deferred decision), Refusal - No Reason (No response or generic denial) Refusal - See Note (Any feedback for refusals is recorded in notes) 

    STEPS - I track LOIs, proposal deadlines, Foundation contacts, calls, report deadlines, thank you letters, invites, etc. here. I try to keep it simple - Send Proposal, Interim Report, Final Report, Follow-Up, Update, Send Invite, Visit/Meet.

    I recorded what the ask was for, the reason behind it, any details of meetings and phone conversations, reasons for refusal or lowered funding, crediting info, benefit info, specifics like which young artist or which performance is being funded, etc. Typically I start each note with a date and put the most recent note at the top.

    I am excited to be able to assign funds and be able to create separate plans for the same campaign based on fund rather than designation, and to have more note space in the steps.
