Development FUNDS and G/L Integration

After using Tessitura Development for 8 years we decided to take a second look at our setup in order to stream line some of our processes.

1. Does anyone have an automated G/L interface to the G/L they are using. We are using Great Plains which I believe is now known as Dynamics.

2. We have a lot of FUNDS that is causing us concerns I was wondering if any other organization has had the issue of creating a lot of FUNDS and what they did to cut down on them

    We are going live with Development Tess at the end of the month.  We (Finance) are currently using FE also, and our Museum has been around since 1842 which has created lots of funds as well.  I am very curious how that process you describe works.   Are you using the "Import" function in FE, or uploading within a "utility" function.

    We have a relatively automated method of transferring data from Tessy to our financial system (Blackbaud) which involved running the GL Summary Report, saving to Excel, doing a little reformatting, and uploading to Financial Edge. This transfers the summary information from each posting report to FE, which is all we want in our general ledger. I’d be happy to discuss if you want more information.

     

    We, too, have a lot of funds for contributed income that have been established over the years, but we only use about 30 of them on a regular basis – the others were all set up to account for special projects or shows. I’m pretty vigilant about inactivating funds that I know will not be used again, such as one set up to support a single performance. I have tried using a “generic” fund for these one-offs, for example, I’ll have a fund called Individual Project Support (TBD) that is tied to the correct income GL account but has a blank project designation and then before the data is uploaded to Financial Edge I’ll manually edit it to provide the correct project code. But that means that when you run reports it lumps a lot of stuff into that fund and you can’t tell what it is easily. So in the end I come down on the side of setting up the fund but inactivating it when possible.
