Fixing Membership Levels

I should be able to pull a quick report to find our current donors based on level, but the results are not accurate. I believe they are pulling from funds that it shouldn't (such as elevated events and donated tickets). I'm looking for advice on how best to set up our membership levels so that when I'm asked how many members we have at a certain level I can easily report on that.

  • Alternatively, you would need to examine your membership setup and which funds are tying to a campaign that triggers a membership. This gets complicated, but the gist as I understand it is:

    - Money is put on a certain fund
    - Each fund is tied to a certain campaign for each fiscal year (different funds can be tied to different campaigns, but each fund can go to only one campaign)
    - Each campaign is set to either create memberships or not create memberships

    So when a gift is given, the system goes through the following logic:
    Which fund is it on? --> Which campaign is it on? --> Does that campaign say that you should create memberships from it? --> 1) If not, no membership is created. 2) If the campaign does say to create memberships, then it looks at your membership organization to see what dollar level the gift is at, which determines which level of membership gets created.

    Keep in mind that you can have different funds go to the same GL number. I have a bunch of different funds that all go to the same GL, just so I can do more detailed break-outs in my reports but Accounting still gets all the money in the right place. In theory, it sounds like what you need is some funds for some of those "extra" things, like events and donated tickets, which do NOT tie to a membership-creating campaign. Then your numbers should line up.

    If your membership set-up isn't serving this data need, you will probably need to build a custom report. We hired Klearsky to write one for us that has functioned great. We look at gifts made to specific funds by fiscal year, rather than rolling 12-month period, so it was inexpensive to set up the logic.
