Where would you record...

Hi Development friends,

We're starting to use the Devo functionality of Tessitura more, and are currently trying to wrap our heads around all of the various places within Tessitura to store information--figuring out where's the appropriate place for each type of thing.

So, say a couple of our executive staff has lunch with an existing donor A, to discuss the cultivation of a prospective donor B who Donor A has a contact with. Our development staff wants to record some notes from that lunch.

Question is, where's the appropriate place for that information? Is it a special activity, a plan, or something else? If it's a plan, would the plan be for Donor A or Donor B?

Any thoughts or guidance would be appreciated. Thanks!

    This is a perfect example of when Plans can become handy for your organization with tracking a cultivation effort. In my opinion, the plan would definitely be for Donor B and Donor A could be linked in a few ways. 

    At The Public, the staff member (relationship manager) and the existing donor (external solicitor) would be listed as workers (roles) on the plan built for Donor B. We would also use the plan source field to note that this prospect originated from a "Donor Lead" (Donor A) and the lunch you are mentioning would be an "Internal Meeting/Action" step assigned to the staff member with Donor A linked via the Associate ID/Name field. All notes of the lunch would then be logged in the step. 

    If this is too detailed for your organization, as you may not have launched into business rules around Plan usage, I would still recommend logging the notes from the conversation in the general notes field of the Plan. It really is the logical place to record the progress of a cultivation process of a prospective donor. Plus, it's perfect when using Tess on the Go, unlike Research or Activities.
