Entering Auction Winning Bids

Hi all,

We just had an auction take place and now we need to enter all the winning bids.
I'm assuming the best non-customized way to do this would be to use Premiums so that we can keep track of the deductible and non-deductible amounts of each item.

Does anyone have any input about if this is the best way to go about this?

Cheers!

  • Hey Ryan,

I appreciate that you've possibly got all this information from chatting to others over a beer at the conference but I thought I'd reply anyway!

All our auction Items are entered into Tess as a solicitation on the donors record.  When the format of the evening (normally a fundraiser) are known and the item has been confirmed, the items are given the status of "In Progress" and a designation such as "Live Auction Lot 1", etc.

In the Elevated Event, all the designations are applied so that when the purchasers donation is processed, it can be related back to the solicitation.

My custom report then displays the donor/vendor, the lot value, the lot purchaser, lot purchase price.

does this give you some answers?  You know where to reach me if you want more...

    Martin

PS When are you coming to Sydney?

  • Thanks Martin,

I'll keep that in mind next time.
I ended up using premiums so that we could keep track of the fair market value and it seemed to work pretty well.
I just set one up for each item with a quantity of one, the fair market value and included the category number from the action software we ended up buying in the description.
    ex. 09 Gala-010-Wine Basket
I was going to use a custom field for the in kind entry to record the category number but maybe I'll use your solicitation idea instead.

    Thanks for the info!

    Ryan
