Tickets Purchased with a contribution

Hello!

I am looking for an organization that may have already been through this and have a suggestion or a possible solution.  We have a couple organizations that contribute money specifically designated to purchase tickets for students in our education program.  What we have been doing is entering the contribution in it's entirety on the contribution date.  then as the tickets are 'purchased' for our students - the money is moved to on account for the donor.  the ticket office then used this money to purchase tickets.  The proceeds are distributed to the show, handling fee and facility gl's just as any ticket sale would be.  the problem is at the end of the year, if we have done our job the donors contribution has been adjusted down to 0 so he looks as though there was no donation.

I hope this makes some sort of sense.  Is there a better way to purchase tickets using donated money in Tessitura?  Thanks so much for your help!

  • Thank you Lucie – that is an excellent thought.  I will try that.

    Hi, Joyce:

Perhaps you could set up a payment method to allow you to “purchase” a gift certificate in the amount of the donor’s contribution, and use that gift certificate to pay off the student tickets as needed. The payment method would be a Cash payment type, segregated by Asset GL No so that your finance people would know that it was covered by a donation. Perhaps the Asset GL No would be the same one used by the fund holding the donation? (I’m not a finance person.)

I’d make a separate type of gift certificate to handle this sort of transaction from the type you sell to the public. It would have a separate Asset GL No, most likely.

    Just a thought.
