Missing pledge payment date?

I normally "lurk" the Forums, and I've recently submitted more questions that normal. 
Please forgive me for yet another question.

At Bass Hall-Fort Worth, there are many organizations that make pledges, and then make periodic pledge payments toward that pledge.
Finance is very good about promptly making a deposit, but several days may pass before Development makes the contribution entry.
I realize this may not be common practice for some organizations, but for several reasons it is the practical procedure for Bass Performance Hall.

During contribution entry, the user has the ability to specify the pledge payment date (at least, that appears to be the case).
However, I cannot find that pledge payment date.


Example:
A pledge of $1000 occurs on Jan. 1, and a pledge payment of $100 received Mar 1.
The $100 from the pledge payment is deposited Mar 1, but the contribution entry for that $100 doesn't occur until Apr 1.
On Apr 1, during the pledge payment process, our Dev contact selects the customer number, source, selects "Mar 1" date as the date, and clicks "Pledge Payment".
Then, continues with the contribution process. 
Everything appears to work as expected; the contribution data is correct and reports are accurate.

I can see the $1000 pledge, and I can see the $100 pledge payment.
But I can't see the Mar 1 date for that pledge payment. 
Instead, I see the entry date (Apr 1) for that $100 pledge payment. 
I can't find "Mar 1" anywhere.


It is not uncommon for an organization to call the office and ask "did you receive the pledge payment?".
Our Dev contact can answer "Yes, the payment was received..." but can't provide the date - unless they walk to Finance to view the deposit slip.
It appears the pledge payment date is not in Tessitura.

We reviewed most reports and the process in creating pledges and pledge payments.
I searched T_CONTRIBUTION, T_TRANSACTION, T_PAYMENT, T_BATCH, and many other tables and some views.
I can see the pledge, the pledge payments, and the entry date of all transactions.
But I can't see the date the $100 pledge payment was "received"; I can't see "Mar 1 -- $100".


If I can find that date, I can try to add the value to a custom field or create a custom report.
I know the payment box includes a Notes field, but I want to avoid a free-text field for this type of report/field.

Am I overlooking something obvious?, is our pledge payment process missing something?, or can someone provide some guidance?

  • Seems like a t_defaults tweak is necessary to enable, if I recall correctly.

    Changing the date on the contribution entry would affect the date on a tax receipt, but not anywhere else. When this happens for us, I manually change the pledge payment due date before I pay the pledge so it reflects the day it was actually received.

    It appears Development may need to change their current procedures, or a custom solution may be required.

    Sorry, I misread your question, Wendell.  Yes, that’s the scheduled payment dates in T_SCHEDULE, and not everyone is perfectly on schedule, of course.   If your organization manages to make batch entry occur more or less same day as bank deposits, then the fundraiser or box office could drill through the contribution record into the details or flip over to the transaction tab and provide an answer to the caller,  assuming you have a transaction type that represents there as ‘Payment’  (in our case, shows up as “pledge payment received”).   If your organization separates the check processing from the batch entry, and those two processes get out of sync by an overnight or more, then you’re looking for something that’s unfortunately missing from Tessitura.   I’d say to follow a typical check through your organization’s process and determine when the check first gets entered into Tessitura.  If it’s not always the same day the check goes to the bank, there’s your answer in paper or maybe a separate accounting program.  But if they’re close, it’s just a double click on a contribution row in the user interface.
