Capturing licensing information on Constituent Records

Hi All,

Ronan MacEwan at the Australian Centre for the Moving Image in Ausralia here - first time poster...

I have a ticketing and marketing background with tessitura (builds, lists etc) but am now in a corp / legal role.

I'm keen to implement the CRM elements to our department, firstly by entering all our contact individuals and organisations, but more radically (!) around capturing the content licences we have with these contacts (as a moving image gallery we constantly licence clips from film and TV in our exhibitions).

Have any other users tried this? I'm after any advice that anyone might have. Obviously there is no set spot for this, so i'm thinking of some inventive ways to approach it.

So far my front runners are:

Solicitations / Plans (we're still on v11 for a little while longer).

Research: Assets tab: currently unitilised, but may cause an issue if people down the track want to use - advantage is its slightly easier to do straight data entry into than Plans.

Basically the info i'm seeking to capture:

-title of content (e.g. Gremlins) (essential)
-Length (non-e)
-Asking price (ours / theirs) (non-E)
-negotiated cost (E)
-Date licence starts (E)
-Date licence ends (E)
-notes field
