In-Kind Donations

Hi all,

For our annual gala, we receive many gifts in-kind (like alcohol, flowers, valet, etc). To thank these donors, we send them a letter thanking them with an attached form that they can fill out with the value if they'd like a tax receipt. Many of them do not turn in the form.

We count in-kind donations toward our total numbers raised for the event. Right now, I have an excel file with the estimated values for the in-kind donations we don't have a confirmed value for, but we want the numbers in that excel file to match what Tessitura says is the final raised amount for the event. 

My question is...

Is it okay to put the estimated values into Tess as an in-kind contribution? Is this poor practice to put in a number that hasn't been confirmed by the donor? I know this is a complicated question and would love any feedback on how to proceed, so our raised number in the charts we use matches what's in Tess.

  • As a general practice, we do not record in-kind donations in Tess until we receive a receipt, packing slip, quote, invoice etc. with date of donation, name of donor, description, amount (w/ zero balance due if an invoice) from the donor.

     

    We ask for this information at the time of solicitation for the donation or upon receipt of the donation. Our staff and volunteers work to gather and report this information so that we can capture it in Tessitura.

     

    Before the confirmation is received, the donor may receive a “soft” thank you via email, phone call, or short note to them. For some donors, we will list their in-kind donation as a “verbal” outside of Tessitura, to work on tracking down the documentation needed. However, we do not issue the official thank you from the organization until the confirmed amount and description of items has been received.

     

    Many organizations have a receipt, quote, or some kind of confirmation documentation for their own files. So you may be able to request a copy.
