Promoting a Letter

Hello,

I'm looking for a bit of help when it comes to promotions.

The development team send out a lot of thank you letters to donors, and additional one-off letters. Currently this is recorded in the notes section on the constituent record, and the document itself is stored on the research tab. Other departments, such as marketing, undertake mail outs whereby they exclude anyone who has been mailed in the last two weeks.  I was wondering if there is a way that I can promote individual letters so that they will be excluded from anyone else's mail out within the two weeks that it was sent?

Any help is much appreciated.

  • If you are working from a list for your mailings, that list can be created into a source and then that source can be promoted for your marketing team to exclude from their mailings. I hope that gets you started.

  • I second what Marie mentions here. At the last two orgs. I've worked for we've had a separate appeal to hold these misc. patron correspondence promotions, to kind of keep them out of the way. If there is no expectation of a transaction being processed against these it might also be wise to inactivate the promotion right away.

    This process works great for both keeping track of everything that goes out the door and in excluding them from other list pulls/extractions, like Marie mentioned.
