Entering gifts of $0??

We are offering complimentary tickets to our annual gala event and I would like to show these in their contributions for accurate tracking. Is it possible or a good idea to enter a $0 gift with a special source code to track comp guests? Is there another way I should be entering this data? 

  • If you’re going to want to easily report on the comp tickets, you could simply create a new level. I have complimentary levels and regular (paid) levels for our special events so we can easily track how many people didn’t pay for their tickets. It’s still able to easily report on along with other event data by using the Event Listing report (which does give you contribution totals connected to the event).

  • The word Compliementary always makes me nervous since there should be a value attached to it and counted somewhere as a non-deductible if in any way associated with a gift.

     

    Your can do it a couple ways you can just do it as  promotion – might give it an Appeal of its own the gala campaign – create a list of those getting the comp and update the promotions.  OR look into recording in the Activities Table where you could track who you offered it to as well as who accepted

    I think Activities is the best place for this.  But it really depends on how you expect to report on it.  Also, a 0 contribution could have potential consequences elsewhere For instance, if you are looking for your total number of donors, or the average amount of a gift, both of which could be skewed by these $0 entries.  So you would have to jump through additional hoops later to get the right reporting (and remember to jump through the hoops in future years as well).

    Activities (as Leslie mentioned) allows you to see those invited as well as those who accepted.  But I could think of reasons to put it in attributes instead if all you needed to do was pull a list of these folks later.  But Activities or promotions are probably your best bet.

    I don't think it's possible to enter a $0 gift, though I could be mistaken.

    Do you have your gala set up in Tessitura as an Elevated Event? Elevated Events can handle this situation pretty well. You log the paid attendees' attendance via the Contribution Editor when you process the money, and you track comped patrons' attendance (without entering contributions) via "Events" on their History tabs. That may be the cleanest way to do it. If you add a "complimentary" level in the event setup as Laine suggested your reporting should be easy.

  • As someone mentioned you could create a comp attendee level.  You cannot enter a $0 contribution, but on the Events tab in a constituent record, you can add an event to a patron and select a source, and level.  Since  there is no fund associated with this entry, it isn’t hitting the GLs and won’t mess with your financials or other reports.  I haven’t used this, so I don’t know if there’s some hidden gotcha doing it this way, but it might be an option.

  • Complimentary tickets are not gifts and should never be located in "Contributions".
