CC Invitations

Hi All,

Our development department would like to be able to invite certain people to things based on other people being invited to them.  Specifically, they want to invite Tom and his wife Jane to everything that Tom's parents John and Sue are invited to, and Bob to everything that his brother Jim is invited to.  The best solution that I can come up with for this is to create a relationship type ("CC Invitations" or something to that effect), assign it to these people, and use the Add Associations/Add Individuals/Add Groups options to add them to all relevant invitation lists.  This seems like a lot of clicks and a lot of remembering, though, to get Tom, Jane, and Bob invited to a few events.  Does anyone do anything similar that requires a little less clicking and remembering to achieve the same effect?

Thanks,

Bryan Evans

  • Hi Kevin,

They wouldn’t want to invite all family members of everyone invited—only these specific people in these two specific instances.  I think we’re going to go with creating a new association and/or affiliation type for this and adding them that way.

    Thanks for the suggestion, though!

    Bryan

    Hi Bryan,

It sounds like the associations in question are limited to siblings/spouses/partners i.e. family members - is there a reason why development staff can't pull the invitation list(s) as they do and specify these association types in "Add Associations" in List Manager to be added?

    Cheers,

    Kevin

Thanks, Mike!  In our case, these people may not always be pulled based on their annual giving.  They may be pulled for a list based on the fact that they gave to a certain special project, based on their subscription, or numerous other things.  You’re probably right—we probably will have to go the relationships route.  I just like to eliminate as many manual steps/processes as possible to reduce the risk of human error and keep things more efficient.

Your suggested solution should work fine.  Even if it adds a few steps, they are in areas of lists and extractions we should all probably pay attention to, anyway.

For the few people that we have in that situation at City Center, we don't use that method because we include them on more than just invitations.  We give them full-fledged, manually-added honorary memberships so we will pull them for everything member related.  We also give them a "No Renewals" Renewal_type so we don't send them a renewal notice and so we can take them out of statistical analysis.
