Forward Pledge Dates

Hello,

We are trying something this year that we are hoping will help us in our budget projections/cash flow.  We have created a form that allows our board or major donors the opportunity to tell us what month to expect their gifts within our Fiscal Year. This also helps them know what is expected of them throughout the year, including AF and events.

These forms are signed and dated. I have a  meeting with our CFO tomorrow about whether or not they can technically be considered a pledge.

If so, can I have the gifts entered as a pledge with the contribution date and due date of whatever month that is agreed upon?  It makes sense to me, but I don't know if anyone else is doing it this way.  Reports for revenue and cash could be more realistic to me.

Would the revenue reports reflect the contribution date or the transaction date?

    Ah ha. Well, unfortunately, under the frustrating rules of nonprofit accounting, if you book it as a pledge all the revenue does need to be counted on the pledge date. I suppose you could book each payment as a separate pledge for the month in which it was going to be paid, but –

     

                I don’t know if Tessy will let you enter contributions with future dates; and

     

                I kind of doubt the auditors will like that.

     

    It may be that you will need to keep a separate cash flow schedule outside Tessitura that tracks these payments.

    Thanks. It's more along the lines of when to count the revenue. Pledges are counted as revenue in my world when the pledge is made. I am looking to count the revenue for these in the month the board member has indicated they want to pay not when the pledge is made. It is why I am hoping I can forward date the contribution date AND enter the payment schedule at the original pledge entry. But I am not sure how or if that will affect the financial reports. 

     

    If it should not work this way, I will want to give the reasons why.
