Personal memberships paid from a business

I am looking for some information on how you handle pledges and contributions that are made by a person, but paid for from either their business, a donor-advised fund, or otherwise.

Currently, we are putting the gift under the record of where the check comes from. So, for example: if Mr. and Mrs. Smith make a pledge or gift personally, but the payment is coming from their business, Smith Inc., we enter the pledge or gift under Smith Inc. with a soft credit to Mr. and Mrs. Smith. This is also our practice for when gifts come from a donor-advised fund.

It is our understanding, that this is the way gifts must be entered for legal purposes. However, as you can imagine, it can get confusing. Mr. and Mrs. Smith might call the box office and say they are members, however,  the box office is unable to find a record of this as the contribution was made under their business, and this is where the membership lies. And even if they’re linked, the box office sometimes lacks the time and knowledge to delve further in to the record to find the connection.

I’m just curious how you handle these types of transactions and if you, too are under the impression that gifts must be entered under the record that the check is coming from. It would be much easier and cleaner if we could just enter gifts under the personal record, rather than the business or donor-advised fund, we would then soft credit the business or donor-advised fund. Any information you could share would be much appreciated!

    We have a few instances where an individual’s membership is paid by their corporation or foundation.  Like you stated, we process the gift in the organization’s account as this is who the receipt needs to be made out to.

     

    Instead of simply soft-crediting or associating the two accounts, we assign the membership to the individual account when processing the gift in the Contribution Editor.  There’s a little button in the bottom left-hand corner of the Memberships tab in the Contribution Editor where you can then move the membership over to an individual (or household)’s account.

     

    We’ve found that entering things in this manner is the best of both worlds: it satisfies the need to capture who paid for the gift, and it also indicates who is using a membership.
