We have just completed a major campaign and appeal restructuring that has taken many hours of thought and careful planning. That being said, this new setup (as wonderful as it is) has caused me to second-guess myself on a few routine processes.
My complication du jour concerns the source codes created by the pledge billing utility and the relationship between pledge billing and appeals.
Our Impresario Council campaign tracks our highest individual donors and is organized into three appeals tracking the kind of response that we receive (four including a special event appeal that does not apply to the situation): IC Membership Renewal, IC New Member, and IC Increased Membership.
This set up works beautifully with normal gift entry, because you can select an already created source that links up perfectly to an appeal. However, with pledge billing you have to create a new source for these transactions that will fall under a single appeal. Our IC pledges are completely spread across the different appeal categories that are already set up, and I would like for their transactions to stay organized accordingly.
The only solution that I can come up with is to make three lists (Renewal, New, and Increased) each time we pull pledge billing and run it in that manner.
It is important that we update the transactions through the utility, because our development directors rely heavily on the Contact Log found under connections. They want to know who received a bill or was charged through this utility and when the transaction took place.
I know this is a lot to process, but does anybody have any suggestions? Thank you!
