#REPOST from Admin/IT: Mass Exchange Utility?

Hey hey,

As are most of us, we're dealing with a bunch of moving of money crossing over fiscal years and production seasons. I understand the Network is developing tools to easily reschedule performances in bulk, but I was curious if anyone has devised a way to do mass exchanges from one performance to another? In our case, it isn't as simple as rescheduling perf dates, as we're dealing with subscriptions. The kicker is, we build our subscription packages based on dummy perfs and then exchange those tickets into real performances once the dates have been announced/built (it's a horrible system and I do not wish this upon anyone, but I can't control Artistic, so here we are...). That being said, we need to rebuild these packages using "current" dummy perfs and we'll need to exchange people out of cancelled dummy perfs into future dummy perfs. Does anyone know of a way to do this, in bulk? I'm also open to hearing other ideas as to how to to solve this issue. I'm essentially trying to maintain a holistic view as to what happened on the back end (what was cancelled and whatnot), so I'm weary of simply moving these performance dates.

    We do the exact same thing with the dummy performances, so we're in the same boat you are with needing to move the subscription packages. Unfortunately I haven't found a great way yet to do all that moving in bulk, especially because we allow payment plans on subscriptions so some of the orders are only partially paid and messing with those makes me nervous. Since we were still in the "dummy" performance stage with our packages before the shut down, none of our packages are seated yet. So what we do is in the original order delete the old package line item and replace with the new one (what we are calling a "voucher" package), and then patrons can exchange those tickets to real performances once we start having those again. But we're doing that package switch manually for the people that want it. Best of luck to you!

  • Oy... Thankfully, we don't currently offer payment plans on our subscription packages, but it is looking like we may have to process these exchanges manually. :(

  • I don't have anything better to offer at this time, but I wanted to reply to make sure I follow this. We've done a number of money on account, rollover to the next season, pay off the new season with the on account money from the previous season, but it's all very manual. We have used the order export/import functionality for single performances where we can. I keep hoping there will be something amazing coming from the Network, but I can't even imagine how complex that would have to be and everyone's scenarios are likely a little different.
