Hi SOTUG members,

Nice to meet some of you at last week's meeting!  I have a non-Tessitura question for the group, though it does intersect...

At Harbourfront Centre, we are in the final stages of nailing down our revised e-marketing policies, in preparation for the upcoming changes to anti-spam legislation.  We're debating how to handle the email address data our box office collects for 3rd party rental partners, and I am wondering how other organizations who ticket rental events are handling getting express consent for each rental presenter, passing it on to the presenter and managing future unsubscribes, etc.

We have one brilliant idea of getting express consent for Harbourfront Centre e-contact only over the phone and on the website at the time of purchase, but then handling rental company consent issues in a post-show email to customers with email addresses, where they can reply to the rental organization, instead of to us.

Basically, we are trying to avoid storing and managing consent data for the 60+ rental presenters we work with each year, but is there some simple way of dealing with this that we are missing?  I am holding up the Tessitura end of this project, but since our privacy officer is not in ticketing or in development, and I am a bit worried we may not be as in touch with industry best practices as we should be.

If any of you has some wisdom to share, I'd appreciate it.  Thanks!  Catherine

    We are in the process of segmenting our records and would love it if you could share your wording for express consent.

    I, unfortunately, cannot comment on presenter express consent as we do not venture into the rental/presenter agreements here at the National Ballet.

    I'd be happy to share our wording when we have it finalized, but we're probably a couple of weeks away from that.  I'll keep in touch!

    I haven't had any other responses to this post, and would still appreciate input if there are other organizations who handle contact data for other presenters.....?
