Also, as far as membership and plans go, we don't use that here and so this particular meeting would not have relevance to us. Our Devo dept does use these functions and I'm not comfortable saying they can all attend on May 3 as none of them are in this group and I don't know their calendar. I would prefer to hold off on any more planning of this until we can get those people most affected by/interested in it on board.
You should be able to just send them the link for this page. When you say you don't use that here, do you mean the WAC doesn't use Memberships or Plans, or just the box office?

Devo Rep here! We use memberships and Plans on a daily basis, and May 3rd at our location works perfectly!

Now that Rachel is on board, I think we're good. I think 3pm would a good time for us. It's our normal meeting time for our Core Team so we know already most of us will be here.! I'll work on getting the event on our calendar and a room reserved.
