Naming conventions for Tax Receipt PDFs

Hello everyone! Me again with some more Tax Receipt questions for you all.

  1. What naming convention do you currently use for Tax Receipt PDFs when they are attached to emails? Are they generic (tax_receipt.PDF) or do you include more specific information, for example - [constituent ID or campaign or fund]_tax_receipt.PDF?

  2. If a receipt is re-printed, or voided and replaced, is that reflected in the name of the PDF? For example, tax_receipt_reprint.PDF or tax_receipt_replacement.PDF?

  3. In an ideal world, what would you like to see as a naming convention for tax receipt PDFs - both for the initial send and any re-prints or replacements?

Just to be clear, we are planning to include the word "Reprint" in the PDF for any reprinted tax receipts, as CRA requires.

    1. Receipt Number - First Initial (space) Last Name
      Currently saving individual receipts as PDF and sending them out manually.  So enough information to try and eliminate errors when attaching them to an email.
    2. If we are changing an amount it will be a new receipt number with a note on it “Replaces Receipt #123456”.

    Having Replacement concatenated at the end might be useful.  Changing the original to have “Replaced By 234567” would be more meaningful. 

    If the person lost the original PDF due to a computer glitch on their end I would just send them the original PDF again.

    1. I would be open to any convention if it made logical sense.  I’m new to tessitura, but I started using Receipt Number - First Initial (space) Last Name.  It would be a big deal to send the wrong receipt out.
