Please let me know if you have any box office folks looking for a full time job.  I am headed to California for a change of scenery (turns out I'm extremely allergic to Arizona), and my Box Office Coordinator has decided to head back to school.  Please see the positions below, and let me know if you have any ideas for me.  I'm happy to give you the scoop. :)

Position:                    Box Office Manager

Supervisor:                Director of Development and Marketing

FLSA Status:             Exempt

Classification:           Full-Time

 

Summary:

The Box Office Manager manages the operations of all ticket sales including the implementation and maintenance of customer database. The Box Office Manager works to maximize ticket sales, increase and maintain customer loyalty, perform financial reporting functions and perform all data analysis.  The Box Office Manager must be able to think strategically; be proactive and assertive; and manage staff through effective customer service, accurate transactions, strong leadership and clear communications.

 

Responsibilities Include but are Not Limited to:

  • Manages Box Office employees, including seasonal help, while staying within a strict budget both at office and performance venue
  • Works directly with Tessitura to set up all events (single, subscription, parking, and other as requested) and discounts
  • Creatively assesses BAZ ticketing needs with a focus on accurate reporting of patron data; recommends, selects, and helps locate appropriate solutions based on customer needs and desires
  • Produces accurate daily sales reports and reconciles with Finance
  • Oversees all aspects of ticketing including subscription, single ticket and group sales, complimentary tickets, gift certificates, third party resale, etc.
  • Maintains knowledge of current sales and promotions, policies regarding payment and exchanges, and security practices
  • Establishes ticketing and event control procedures to minimize risk to the organization
  • Runs the box office with a high degree of customer service orientation so as to maintain excellent public relations with patrons.

 

Essential Skills and Experience:

  • High school diploma or equivalent is required; Bachelor’s degree preferred
  • 3-5 years related experience in database management, preferably Tessitura
  • 3 + years of Box office/ticketing managerial experience
  • Proven record of outstanding customer service
  • Excellent speech clarity and active listening skills
  • Competency in the use of Microsoft Excel, Word, and Outlook
  • Willingness to work irregular and flexible hours is required
  • Experience with demand pricing, social media marketing and promotions is preferred
  • Bilingual (English/Spanish) is a plus

Supervisor:                Marketing Operations Manager

Classification:           Full-Time

 

Summary:

The Box Office Coordinator assists with the day to day operations of the box office, including ticket sales, customer relationship management, financial reporting functions, and recognizing and pursuing opportunities to develop and maintain group business.  The Box Office Coordinator must be able to think strategically; be proactive and assertive; and assist seasonal staff by demonstrating effective customer service, accurate sales transactions, strong leadership and clear communications.  This role requires a strong attention to detail, organizational skills, and an acute understanding of managing customer and donor relationships.

 

This person works closely with the Box Office Manager, Development Operations Manager, Marketing Assistant, and our Education and Community Engagement Manager.

 

Responsibilities Include but are Not Limited to:

  • Assists in setting up and maintaining events, subscription packages, and discounts in Tessitura
  • Creates and runs customer lists and extractions from Tessitura
  • Process day to day fiscal reporting, assist with production reconciliation reporting, and monthly reports which track call monitoring, promotions, and revenue/ticket sales
  • Maintains knowledge of current sales and promotions, policies regarding payment and exchanges, and security practices
  • Processes subscription ticket orders, single ticket orders, group sales, and comp tickets while adhering to company ticket policies
  • Recommends, selects, and helps locate appropriate solutions based on customer needs and desires
  • Assists in identifying and pursuing new opportunities for group sales.
  • Assists in maintaining existing group sales by fostering relationships (via phone calls, direct mail, e-mail, and face-to-face contact).
  • Provides service to all patrons in a manner consistent with the service standard of the organization.
  • Works with Marketing staff members to ensure that brochures, mailings, and special events positively influence sales
  • Acts as manager on duty in absence of the Marketing Operations Manager for all ticketing related matters
  • Other duties as assigned

 

Essential Skills and Experience:

  • High school diploma or equivalent; college degree preferred, but not required
  • 2 years related experience in ticketing, preferably with Tessitura
  • 1 or more years of experience in sales, preferably groups, out-bound calls, and telemarketing
  • Demonstrated computer skills, including proficiency with Excel, Outlook, and Word
  • Excellent written and verbal communication skills a must
  • Excellent speech clarity and active listening skills, especially in stressful situations
  • Ability and willingness to work irregular and flexible hours is required
  • Ability to multi-task and work on deadline
  • Bilingual (English and Spanish) is preferred


Box Office Representatives Part Time

Description:  Box Office Representatives (PT) provide telephone and in-person sales of individual tickets and subscription packages, as well as customer service to support professional and student performances for Ballet Arizona. Representatives will work at the main box office location near downtown Phoenix during regular business hours, and will also provide in-person ticket sales support at the box office at Symphony Hall, the Orpheum Theatre, the Dorrance Theatre, and the Desert Botanical Gardens on the evenings and weekends of performances.

 

Essential Duties:

  • Receive and process phone, walk-up and mail ticket sales orders from the public
  • Give detailed information about performances to provide the best possible customer experience
  • Maintain a high-level of service and helpfulness when serving patrons and internal staff
  • Stay current on event information
  • Work both independently and in a team environment
  • Make outbound calls for group sales, subscriptions, and other promotions occurring.

 

Qualifications: This person must possess strong customer service and sales ability, communication and organizational skills, as well as attention to detail and good judgment. Must be comfortable dealing with the public by phone and in person. Candidate must have demonstrated computer skills, including Microsoft Office. A friendly personality and flexible schedule are necessary. Experience selling tickets a plus. Knowledge of ballet or the performing arts is helpful.
