TLCC Gateshead 2024 Meetup!

We’re excited to be meeting as a group soon at TLCC Gateshead!

Here’s some key information ahead of the conference:

When: 2:30-3.15pm on Wednesday 6^th March
What: A quick round of conversation-starters to connect attendees, followed by a full group discussion about documentation (who creates it, what do you document, and how do you lay it all out?)

storing training materials

Hi!

Something else I just thought of after the meeting today - I also store custom help documents right in Tessitura, so that when someone clicks the little question mark on a particular screen, relevant org-based documentation will pop up alongside the standard Tessitura documentation. It's nice because it means there's no searching for something during an immediate need for it!

You should have all received the invite to our next Onboarding and Upskilling Your Team meeting, to be held on October 26, 2023! This meeting will go over documentation standards and best practices. As this is a peer presentation format, we need your help! Do you have documentation that your organization lives by and would be willing to share your processes surrounding the creation of? Submit your presentation here! Presentations should be around 5 minutes long and we'll take time for questions following.

Sharing Box Office Staff within a regional community

We're working with a lean Box Office staff (thank you COVID) and find that we are feeling extremely understaffed during show and are feeling at least close to adequately staffed between runs. Of course building budget for additional full-time or part-time staffers takes time to make a case for, but we have a vibrant regional community of arts orgs here in Houston and many Tessitura users. At a recent regional meetup the idea was pitched of creating a shared database of people who work or have worked in your box office and already have basic tessitura training who might want to pick up the occasional shift working a window. This would allow us to stagger our full-time staff to regular box office hours, making them available to wrangle subscriber pre-sales, etc that frequently need to overlap with show runs.

Someone in our group suggested posting here and seeing if any other community has created something like this and if there are any lessons learned or best practices you might want to share out.

Template for Product Hierarchy

Hello,

I recall a session at last year's conference where someone referenced a product hierarchy template. Something that new folks can reference so they understand the organizations structure.

I love this, but since I support a large number of organizations I'm looking to provide a template of recommendations that I can share with the orgs power users that they can adapt toward how they are structured.

Any tips or thoughts on where to start?

Training

We do not have a training department and rely on tenured staff to provide training. This process requires change and improvement; we hope to learn from others.

How do other organizations train new hires on how to use Tessitura?

In the past, we investigated some online tools that provide self-paced training. These tools save staff time and allow new hires to review information, take quizzes, and familiarize themselves with the processes specific to their expertise.

Documents outlining approach to onboard other departments within organisation?

Currently only a couple of departments here at WNO use Tessitura. I am pursuing getting other departments with WNO using Tessitura to stop the siloed approach that seems to be happening of each team with their own spreadsheets of information.

Does anyone have any documentation they would be willing to share about business case for onboarding other departments - or documents about the way they have approached it? This would help give me a starting jump at laying down our process.

Notes from our wonderful meeting with Subject Matter Experts, Michael Flaherty-Wilcox, Director of Practice Management and Instruction and Boann Petersen, Instructional Designer at Tessitura, on best practices for end user training have been uploaded to our files for anyone who was unable to attend or for anyone who might wish to reference in the future!

As stated in the presentation, Tessitura has a lot of great resources to help you prepare for your upgrade to v16. These include:

Sandbox Access - this is where you can gain access to a dummy version of v16 to be able to explore the new features before it gets applied to your environment. If you don't have a login to the sandbox, email sandbox@tessituranetwork.com to start playing!

Documentation - read about what's new, release notes, API documentation and more. This is your best resource to learn the new functionality.

And finally, Tessitura has an ongoing webinar series that talks about concepts and configuration that may be useful to inform the creation of your training program. You can find the list of upcoming webinar events below:

New User Learning Rubrics

Hi all!

Does anyone have examples of new user onboarding rubrics? I think it'd be helpful to develop something like a basic user rubric, power user rubric, etc. while onboarding so that common goals are clear from the beginning. Has anyone done this? Any additional comments welcome!

Documentation Style Guides

Hi all!

I attended Jenna Whitnall's Onboarding and Upskilling session in Denver this year. Part of her presentation was sharing how helpful a style guide can be for updating and creating new documentation. She discussed how a set font, set headers, rules around colors, images etc. can make a documenting procedure much more efficient - the documents already look branded and presentable before they arrive at someone's desk for review. I'm curious if anyone has a style guide they can share here, as or any tips around creating one. We are in the midst of a documentation project at my organization, and I'm so glad Jenna's wise words have stuck with me!

Hi everyone!

I'm Katie, the second co-chair newly joining this community group! I work at the Columbus Association for the Performing Arts in Columbus, OH as the CRM Systems Manager. My background is in Development/Advancement and I also was the project lead for our implementation of Tessitura in 2019. I have my MBA specializing in Leadership and Marketing and a certification in project management from the Project Management Institute.

I'm looking forward to all of the great ideas to come from this group as we all work to continuously improve our onboarding and upskilling processes, making our organizations the best they can be!

Onboarding and Upskilling "Higher Ups"

Hi everyone!

Love this topic and so excited to be in the group!! I got a lot of questions during the recent TLCC about how to convince folks in leadership positions in our organizations to get on board with onboarding! Sometimes, they come with the most experience (and loyalty) to legacy softwares. Other times, they may be less willing to look like new comers on any subject! This can tie directly into how well our efforts at onboarding go with the rest of our staff because we need the buy in from above to dedicate the necessary resources to effective training. Does anyone have strategies to share on how you've demonstrated return on investment in training to department or organization heads? Do you have to defend a budget or present on the work you do to maintain support or advocate for additional positions or pay to retain talent? Tessitura is a big "line item" to begin with, and I am curious to know how organizations perceive the ongoing human resource needs of the software!

Getting Excited about Data Standards!

Hi Everyone,

Really glad this group now exists. I'm part of the Philadelphia Regional Arts Consortium of about 18 organizations up and down the east coast USA. We have a set of data standards for how our information is entered to keep things consistent across the board. We have very thorough documentation on this as well but it can be dense and I'm wondering how anyone is handling the training side of this to make it more interesting and fun. I'm charged with training most middle to upper management folks at organizations, or to "train the trainer" but would love to come up with some way to get this information across is a way that's a little easier to digest and more interesting.

Any suggestions welcomed!

Hi everyone,

Thanks for stopping by our new community group for onboarding and upskilling your team!

I'm Sarah, one of the co-chairs, and I work at Southbank Centre in London (UK) as the Tessitura System Manager. My background is in Ticketing and I've also worked at venues in Australia and New Zealand, as well as teaching for a year at a middle school in South Korea.

We're hoping to have some virtual events in the not-too-distant future, but first, I need your help... We're looking for another co-chair or two to help get this party started! If you're interested in finding out more, please do get in touch (click my name on this post and then click the 'Connect' button) or join this upcoming info session on How to become a Tessitura Community Chair on September 8th.

And if you're heading to TLCC Denver 2022, there will be a lunch meet up for this group on Wednesday 17th of August from 12-1pm. Sadly, I'll still be in London but tables will be reserved for those who are attending (and I'll be there in spirit).
