Hi all,

We have been recording tribute gifts using an appeal called LO FYXX Tribute, with each source being a separate "in memory/honor of...."

Next week, I'm going to need to list our tributes out in a way that looks like the following:

In honor of Teddy Abrams
Mr. William Abrams and Ms. Karen O’Leary

Assuming that the "in honor of Teddy Abrams" portion is the source description, how can I export the data that links each gift to that source?

I am used to doing a list where the criteria is a specific source code in order to produce contact information for families (notificants) of the tribute so that they can thank the donors for their gifts, but that list often needs to be further edited because it pulls gifts in not related to the source itself (basically if a constituent makes a gift with that source, it gives me all the gifts on record for that constituent and not just the one related to the source). I'd prefer not to have to do that for this project, so I'm curious if I am doing something wrong in my output sets or if there is a better way to get what I want.

Couldn't you filter the output set element for contributions you include by the source in question, and then by date? That said, we also record honor/memory gifts as mentioned above, using a creditee type for each, "In Honor of" or "In Memory of".

Thanks - that's interesting - when we transitioned from RE to Tessitura, the appeals/sources way was recommended to us by Tessitura itself. Using the example in my original post, would I then do the following?

Record the gift on William Abrams' account and do a soft credit (with a type of "In honor of") on Teddy Abrams' account - is there a possible problem of folks who aren't constituents? Do I have to choose a constituent or create one if it doesn't exist in our system?

Oh - and when we moved to Tessitura, we took the opportunity to move away from the format you have above (which for us was an easy canned report in Raiser's Edge previously) to just move to a list of all the honorees . Example: Gifts were made in memory of: list of names, etc. We do this for our Annual Report and our lists were getting larger and unweildy and we are moving into a Campaign so looking a these kinds of things make sense to us. Also, it keeps the name lists that go to surviving family members discreet.

Do your tribute gifts go to a unique fund? You could use fund in your output set and then filter by the fund that the tribute gifts go to. But we do what Laurel Quaintance posted above for our tribute gifts.

Hi Jonathon,

We use Contribution Creditee and creditee types of in honor of and in memory of. This makes it easy to pull the donors that made gifts and links them to the tribute.

Fundraising Expenses

Hey all! I'm working on a presentation for our board to give them a sense of our fundraising expenses vs. what we raise within a fiscal year (like I'm sure some of you have experienced, they don't seem to understand how far we stretch a dollar to make sure contributed income can elevate the art above all else [emoticon:41d3875e132d40cdaee3dc767007b788]). I'd love to also be able to talk through the standard at other arts and humanities organizations for perspective. Is anyone willing to share what percent of their organizations contributed income goes toward expenses? I'm specifically interested in looking at non-Gala special events (opening nights, stewardship receptions, etc.) I appreciate your insights!

Elevated Events Reporting

Hello All! We've started using Elevated Events to capture high level data on non-ticketed events. We've created an event for each instance and are recording the event date, number of attendees and revenue. I'm struggling to find a report that shows these basic pieces of data for our events and don't see that this data is available in Analytics. Does anyone use this functionality and if so, can you share how you output this data? Thanks in advance!

the report only allows for one event to be selected. I have not found another way to combine elevated events.

You could do a Fund Activity Report selecting the campaign that is associated with revenue for the Elevated Event(s). That would allow to capture all revenue towards your campaigns that are tied to Elevated Events...

I agree with Colleen -- your best bet is likely to use a custom output set on a list to get all the data you are looking for.

Thank you for all the suggestions! I've been looking at the Event Listing report and the challenge is that it only allows the user to select one event at a time. I'm trying to generate a report show all the events this year with an output of the event date, number of attendees and revenue. Is anyone having any luck with something like this? Also to note, we are on V16 and I'm not seeing any "event" data in analytics, however there is limited "special activity" data in the Interactions cube. We decided not to use Special Activities for these events as there isn't a way to capture revenue there.

We at the VMHC use Elevated Events (I find they are very helpful for events where no payment is needed/if it is a higher-touch event.)

Here's the parameters we use:

A note that if you're using V16, Tessitura Support has had to manually fix a glitch in the report several times for me. It's a known defect that they're working through. As long as you send a support ticket in letting them know the data isn't populating in the report, Support will manually fix the report!

I have not found Analytics to offer any reporting on Elevated Events in V16.

So I will say my org is still in v15, so it's possible v16 has this capability in Analytics (I understand there's a cube for constituent interactions), but I don't know of it in v15. We use the Event Listing report to pull that information from the Elevated Events. It should include all of the things you've listed here, but if there's anything it isn't pulling my next recommendation would be to create a list of the attendees and then create an output set to pull the missing information.

It looks like the only standard report is the Event Listing Report in the Development folder. I don't believe Elevated Events are available in Analytics (at least in v15), much the same way that Special Activities aren't, unfortunately.

Yup, that makes total sense! In that case, you may not want the system to engage and update accordingly since it'll undo your work if the donor hasn't yet reached that threshold. I wonder if maybe periodically running the Manage Constituency utility will help? You could periodically pull a list of donors with the Major Gifts code who aren't at the threshold, review it to determine who should keep the code for the time being, and then run the utility to remove it from anyone else.

Constituency Codes

I was wondering if anyone could shed some light around constituency codes.

For some, these codes are manually added to a constituent, but for others, there are a set of rules in place for the code to automatically be added/updated if the constituent meets the criteria in the set rules. For us, the code in question is in our associated membership level. My question is, if we manually add this code that is tied to our membership levels, will the membership rules engage and update accordingly, or is it an independent code that will just stay on the constituent until we remove it?

Hi Colleen! Great question - for some donors we might manually add a Major Gifts code before they have reached the required threshold because they are being cultivated and/or are in the process of making gifts to meet that threshold (without a pledge), but we want to make sure they are included in reports/extractions along with the other major gift donors. Does that make sense?
