Tracking Membership Conversion

Hi there,

We track membership conversion for an exhibition by counting the number of new members who using their new membership first visited that specific exhibition. For example if there was an exhibition on Aug 2023, we only count back then the new members that it was their first time using their membership by visiting that exhibition. So, there are two conditions:

1- The membership needs to be new at the time frame we are looking at it in the past (or present if we are tracking a live exhibition) and;

2- It needs to be that members' first time using their membership benefits.

I have tried many ways to set this up in a dashboard but have not been successful. Could anybody please point me in the right direction?

Question about pivot tables and percentage calculations

Hello all,

We are trying to convert one of our spreadsheets to an analytics pivot table.

Here is an example of the part of the current sheet we are trying to replicate:

Each row is for a different end user or solicitor.

The Sold column counts our main four ticket types sold, admission, concession, student and senior.

The Donation column counts tickets sold with a donation ticket layer, admission + donation, concession + donation.

The Percentage column shows the % difference between Sold vs Donation.

Can anyone give us a steer on creating this?

Using CASE Statements to hardcode footfall targets into Analytics

Hi all,

During our community meetup at TLCC, when we were discussing about how we measure success and the difficulty was raised around the fact it is not possible to put a daily footfall target into each Tessitura performance, to then pull into analytics for comparison. I mentioned that RCT have a way of tracking this in analytics and Melanie Ryan asked me to add it to the group so here it is!

For each of our venues, we have a daily footfall target, which we can then total into a monthly and yearly target. For example, here we've got the purple bars for the actual tickets sold, and gold for the monthly footfall target:

To put the gold bars into the widget, we have a series of case statements (hard coded in the analytics formula).

For example, this is what we have for the monthly chart, where [TARGET] is the number value that you want to set your monthly target to be:

You would have a case statement per month of the year, which is then transposing the target to the appropriate month on the chart.

Where [Total Calendar Day of Year] is the numbered day of the year, out of 365. We have an excel spreadsheet which maps the target to the day of the year so we're not sitting there for ages writing the case statements out! The only issue with the daily widgets is that CASE statements have a limit per widget (I think around 150), which means you can only put targets in for part of the year. We get around this by putting in the targets for the next few months, and once those months have passed, add in the new targets for the next three months and so on.

This is obviously very time intensive, so having a field directly in Tessitura where we could add in our target would be the ideal solution, but we've found this works quiet well for us without the need for creating anything custom.

Pay what you can: Averages

Hope you're well! (Cross posting in a few groups so sorry if you get this multiple times..!)

We're looking at offering pay what you can for one of our exhibitions coming up, and I wondered if anyone was able to share their average amounts given if you've also done something similar in the past? We have some data from our Events programme but this is quite minimal and my hunch is that the average for an exhibition is not the same as a one off event (Although I'm happy to be proved wrong!). It would also be great to know how you presented this on the purchase path, eg with different options at different price points or a free type field for people to input their amount?

All thoughts very welcome!

Hi (hope it is okay to post this on here),

I am on the committee for the Visitor Studies Group as the conference lead. The Visitors Studies Group (VSG) is small volunteer committee run organisation for those who do audience research, or related work, for visitor venues.

This year we will be having a conference focusing on how the cost of living is impacting audiences relationships with our venues and how as venues we go about conducting this research. The title and conference summary is:

The cost of culture: measuring barriers affecting the visitor experience

Britain is in the middle of a cost of living crisis and audiences are feeling the pinch. Financial restrictions to participation and enjoyment of arts venues, science centres, heritage and other visitor attractions are nothing new; however, with increasing suggestions and new requirements that organisations collect data on the socio-economic status of their visitors, the question has been brought to the forefront, and not without its controversies. Which audiences are most hit by the cost of living crisis and how should venues and programming respond? Has the sector contributed to social mobility in the UK? What role does class in the research and wider cultural workforce play? We welcome fresh perspectives to these questions and different interpretations of the conference theme.

This is a topic that many of us can relate to I'm sure and I know some of us have had various conversations online/in-person conversations about related issues such as the Arts Council's plans to measure class, challenges to get more representative survey results, changes in booking patterns in correlation with the economic climate and various schemes and initiatives to introduce more or maintain financially accessible arts and culture for all audiences. We currently have a call proposals open, which closes 25 January, and if anyone feels they have a project, success story or a 'learn from your mistakes story' they would be interested in presenting at the conference this year please do let me know or submit directly here. Or if you think you would be a good fit for a potential panel I would love to hear from you!

PS. The conference is 10 May in London! It's a great space for peer-led learning on navigating surveys and audience research, as I know the desire for more on this has come up a few times as well!

Ecommerce benchmarks for ticketing

Hi all,

Was wondering if anyone could point me towards benchmark metrics for ecommerce, but more specifically around ticketing contexts.

We've been looking at evaluating the performance of our website's purchase path, so for example looking at a funnel visualisation of drop-off rates at each stage of our checkout.

During our busier on-sales, typically 60%-70% of customers who add a ticket to the basket go on to complete their order. This instinctively feels positive, but it's difficult to know whether we can viably improve on this without having any comparable metrics.

We've found more general ecommerce benchmarks from sources such as Baymard, but I'm making the assumption that these would be different for high-demand tickets (where there's a limited time window).

EU Data Insights Meetup - Birmingham Hippodrome 16th October

We're really excited about the in-person EU Data and Insight community group meeting in Birmingham a week on Monday..

There are still spaces available, but it's limited so please make sure you're signed up if you'd like to come along.

We'll be starting the meeting at 13:30, but do come along from 13:00 as there will be tea, coffee and doughnuts (and a chance to network with colleagues).

Please come along to the Birmingham Hippodrome's Thorp Street reception and we'll be in the PWC Suite for the afternoon.

We're delighted to announce that we'll be joined by that Kate Watson from Tessitura. She'll be talking us through the version 16 Interactions cube and forecasting in Tessitura Analytics.

As we mentioned last week, there'll be an opportunity to share dashboards and data visualisations. If you have something you think is cool, then please send it over to Yasmin ahead of the meeting.

There will also be a chance for some Open Table style discussions, so if there are any interesting topics you'd like to discuss, pop them in the chat below or bring them along to the meeting.

We're hoping to finish the meeting at 17:00, but for those of you who don't have to shoot off for trains etc. we'll be reconvening in a pub for some post-meeting 'networking'.

We’re really keen to have the community help build the agenda with us so that we’re focused on what’s currently relevant and important to you so we have a few points on the agenda that we need your help with forming.

Open Table Style Breakout Discussions – This will be an opportunity for you to join different discussion on topics you may find interesting, the time will be planned so that you have an opportunity to join more than one breakout space during the time or stay at one and hear different perspectives. We’ve had a few suggested topics already, including Google Analytics, the Illuminate platform and Wordfly Workflows. Please let us know if you have any topics you would like to discuss at the meeting.

If you're new to analytic Coffee, we are a virtual community centered around data analysis, storytelling, and governance within the Tessitura Community. We typically meet every other week for virtual discussions using Lean Coffee at a time designed to work in your part of the world. Illuminate platform

Hi,

This one if for the NPO/other ACE funded organisations who will be working with the Arts Council's (ACE) new Illuminate platform. You may have noticed in the most recent update that Tessitura isn't listed as one of the current box office providers they have setup up an API feed with. This is surprising to me considering it's one of the biggest used in the sector. I'm hoping there is just a delay in this being setup. I've emailed Tessitura already to ask for details and completed the form ACE sent in their update to get a better picture of the different providers everyone is using. I recommend as many of us possible to fill this in to help push Tessitura being included forward (haven't posted the form link as I'm not sure it's allowed on this forum but will happily do so if it's permitted). Again this could be in the works already but it wouldn't hurt to help towards making the case stronger as I'm sure none of us want to be doing this as a manual process!

Hello everyone,

I’m really delighted to be taking over as Community Chair for this group. Data Insights and Analytics are really close to my heart and I’m really looking forward to all of the conversations we’re going to be having about how to get people to learn as much as they can from all of the lovely data we’re all collecting in Tessitura.

I’m even more delighted to announce that our next (virtual) meetup is going to be at 15:00 (BST) on Thursday 27 July. You can register here.

One of the things that Yasmin and I noticed when we all met up at the Albert Hall earlier this year was that lots of people were having challenges getting senior colleagues to engage with data, so we thought we’d use this session to share feedback on what has (and hasn’t) worked at our organisations when attempting to get those in leadership positions to buy in. We’re looking for examples of what you’ve tried in the past and how successful it was. Hopefully there’ll be something useful for everyone to take away.

If you’d like to talk about something you’ve tried, we’re looking for very short (less than 5 minute) presentations so we can fill the session with LOTS of examples. Let us know in the chat below if you’d like to share what you’ve done

Thank you to everyone who attended our meetup in February, it was an absolute pleasure to meet all of you and some very interesting discussions were had. I am very sorry to say that it may also be the last time I meet with some of you, although hopefully not, as I am stepping down as Co-Chair of this wonderful community group due to the fact that I am leaving the Tessitura fold for a new position as Head of Data and Insight at another organisation that does not use Tessitura (unfortunately!).

I am sad to be leaving so soon after joining this community, but you are in the very capable hands of the wonderful Yasmin.

However, before I go I do remember that I promised some follow up from our meetup in the form of the Master Decision document we are beginning to trial within our Development department.

This document is designed to be a central place to record data and process changes in Tessitura, who was involved, when it happened, and importantly the logic/reasoning/impact of those changes. This was actually inspired by a session at TLCC London last year (if my TLCC notes don't lie to me) on Scalable Training Programmes by Jenna Whitnall and Sarah Berryman. Jenna specifically discussed a decision mapping document they use alongside their data dictionaries and product hierarchy mapping.

As our document is still in very early stages, what I have done below is provide the template we have designed to then record each change. It is quite simple, to allow it to be accessible to all staff within Development, but I hope it helps.

Welcome from your latest EU Data Insights Community Co-Chair

Hello everyone!

My name is Lauren Coombes and I’d like to introduce myself as the newest Community Co-Chair for this group alongside the wonderful Yasmin. Whilst I was able to meet a few of you at TLCC I am very excited to get the opportunity to meet more of you at future events in person and online meetups as we work towards building a group for fellow Data Insights enthusiasts and professionals to share their interests, questions, top tips, and successes (failures too, there is always something to be learnt from them!).

I currently am the Senior Development Operations Manager at the Science Museum Group in London, UK which I joined in 2019. This role has been my first introduction to Tessitura, with a background in Alumni & Development in various Higher Education institutions. My role focuses on supporting our department in their use of Tessitura with a large portion of that on improving data processes/management as well as creating and managing reporting to support engagement activities and achievement of income targets. I create a lot of our reporting on Tessitura Analytics and am constantly learning new, exciting things I can do with it and am keen on supporting others in understanding and using it as well!

Outside of work and everything Tessitura I love hiking (although I’m afraid of heights, which makes mountain hiking interesting), reading as much as possible, and like to relax with a good video game.

I’d love to hear more about you all and your interests! Also, for anyone who was able to attend TLCC London (or even Denver, I’m sad I couldn’t make that one) a key takeaway or highlight you’d like to share with the group?

I’ll get the ball rolling on that one with just one or two sessions I thoroughly enjoyed at TLCC London:

The sessions on new membership functionality in V16, especially surrounding the new benefit tracking options, has us creating a V16 benefit matrix to map exactly how we want our donor benefits to work with this new system to leverage as much functionality as possible. This is also being mapped against identified reporting needs and wants so I can work on some snazzy new membership dashboards on Analytics.
The session on building a scalable training programme had some brilliant ideas on modular training design, but more specifically I was interested in some of their recommended documentation including a Decision Mapping Master Document that stores notes and guidance on key changes they made on Tessitura, and a training needs matrix completed by all staff quarterly to identify training needs and gaps.

I could say so much more, but this is a long post already! But do feel free to say hello!
