Hello all! We're looking forward to this Thursday's community session on Email Automation.

The event takes place this Thursday, April 11th at 4pm BST/ 11am EDT/ 8am PDT.

We'll have a presentation by Lindsay Carpenter from Roundabout Theatre Company walking us through some of their work. We'll also have time for questions and open discussion at the end.

WordFly templates designer recommendations?

Hi all,

I was wondering if anyone UK-based had any recommendations for a designer/design agency? We are getting a revamped website and looking for someone to work with me to redesign the template.

I've asked Kirk (WordFly) but it sounds like WordFly doesn't offer Design services anymore (boo), and the agency designing the website (substrakt) don't have anyone either.

Any help / pointers appreciated!

Mailing Opt Outs from Rental List

At Kennedy Center was purchase rental lists for acquisition mailings, so when people contact us and ask to be removed from our mailing list, we don't always have a record for them in Tessitura yet.

How do your orgs handle that kind of opt out?

Do you create a new constituent record for the person and make sure their Contact Permissions/ Contact Point Purposes are correctly set to receive no mail/email?

Or do you have a different system for keeping track of rentals that don't want to be contacted again?

I've done it one of two ways for physical mailings. I create a Tessitura record for them and then mark all their Contact Permissions to opt-out. We use TRG to handle our mailing lists, and I will make a manual suppression entry. I prefer to add them in Tessitura so I can add them to a suppression list and even if we trade with another org, I can at least guarantee they will be suppressed from any borrowed lists.

I would follow the same protocol for email. (We don't handle a lot of email acquisition lists though),

We use Wordfly, which has its own layer of contact permissions, which we rely on in this case.

It is worth remembering, as a customer who unsubscribes through Wordfly will be marked there, and if they re-subscribe through, say, Contact Permissions in TNEW (or even in Wordfly Preferences), that won't remove the unsubscribe flag at the Wordfly level.

We do create a record for anyone who asks to be removed and set everything to no contact. That way when we send our suppression list to the mail house, they will not get our mailers regardless if they were on an internal list or a list we purchased.

I have used the WordFly one and it's nice functionality. Unfortunately, it generally doesn't fit what we need though, ie different seed lists for different campaigns/departments.

I wonder if anyone has found a way to send an automated triggered email on the day new subscribers sign up in WordFly?

I seem to remember that this was not possible, but has anyone tried / found any solutions? It would be nice for new subscribers to get an email sooner than the day after [emoticon:c4563cd7d5574777a71c318021cbbcc8]

Thank you Jamie - we also use the same approach with appeals, this is a useful reminder of how to avoid accidental re-sends! Interesting about the seed list, I don't generally include it in triggered emails! Do you add the seed list in Tessitura or in WordFly? (we use Tessitura)

No, this is available in TNEW v7. Special text can be inserted using LTR_TNEW_EMAIL_SETTINGS.Setting = "ShortReg_HTML" and "ShortReg_TEXT", but there is also a different template file that can in theory be modified directly.

Adding/clarifying that my view on the fussiness of this is that Tessitura more readily likes to let you work with dates rather than hours (and I don't have the skillset on staff to go more specific than out of the box queries), so that working through that should have space in your planning timeline! I also like to include a seed list on every send via Tessitura, so the 'not sent more than' choice in WordFly is a bit of a block--my problem there.

More helpfully perhaps, I like to try to protect against accidental re-sends by promoting all the welcome messages to a specific Appeal, and then writing suppression criteria of not having something with that Appeal yet.

Gawain - Isn't it just the one account creation email? (unless you recode some things to be dynamic within the email content anyway) In v15 anyway.

If it's not, I need to loop back to it and maybe dig into this postponed strategy sooner rather than later.

Just a note: when you take in customers in TNEW through the "Short Reg" interface, those customers receive a different, customizable registration email. Since we use that to take in email list subscribers we've added some relevant text to that email, but obviously it doesn't catch people who have signed up through our regular account registration process.

If you are not using Wordfly sign-ups, are you having folks create an account in Tessitura directly? We currently require an address to create an account, which I've always felt would be a hindrance. So it's a bit of a trade-off...

Glad it made sense, the more I wrote and thought about it, the more confused I got trying to explain it!
It's definitely one for playing about with and maybe using the Generate a List utility on a schedule to help check the results are incrementing as you expect them to and then as you say suppressing in Wordfly.

Hi Jamie, you're right, it's about Tessitura dynamic lists rather than WordFly. We also don't use WordFly to collect new sign-ups, so apologies if my question wasn't clear!

Really good shout about TNEW, I know it sends the account creation confirmation email straightaway. We are not on TNEW at the moment but planning to move back to it within the year, so that's something I'll need to consider .
