I was wondering if anyone UK-based had any recommendations for a designer/design agency? We are getting a revamped website and looking for someone to work with me to redesign the template.

I've asked Kirk (WordFly) but it sounds like WordFly doesn't offer Design services anymore (boo), and the agency designing the website (substrakt) don't have anyone either.

Any help / pointers appreciated!

The Email Strategy Team is planning our next meeting (likely to be February 29) and we'd like to focus on Automations and Triggered Emails, since that was a popular topic during our last session.

We are hoping to find 2 - 3 people who would be interested in presenting a short overview of our org's current process, or perhaps a case study about a specific initiative in this area. We'd love to hear from folks who use both Wordfly and Prospect 2. This does not need to be a formal presentation; the purpose is for idea sharing within our little community.

Please send me an email at jleonard@mayoarts.org if you're interested in discussing further! That's been smooth so far -- and we love the team at P2.

When we reached the step to export engagement scores (1-5) from WordFly so we can begin the P2 import process, we discovered that more than 50% of our list has no engagement score, despite many of those contacts being recently active and having received more than 5 campaigns, the threshold at which WordFly begins scoring.

Has anyone else run into this issue? Or can speak to the process you used to migrate your list and ensure high-quality contacts were being moved over for a robust warming period?

FWIW, we have brought this issue to WordFly and they are investigating.

Gmail purge announcement

I received a cold-call sales email (from a "contact verification solution provider") about a Gmail purge. Has anyone heard anything about this? Are you taking any proactive steps to get ahead of it in case it dramatically spikes hard bounces? I know we discussed re-engagement strategies in general during the Lean Coffee session this week. This news might light a fire on looking at engagement more closely sooner rather than later.

From the emai I recieved:

Heads up email marketers: The Great Gmail Purge starts today!
In case you missed it, Google has started deleting email accounts that have been inactive for at least two years. Unfortunately, this adds a new curveball during the busy holiday season.

But don’t panic. Here are a few quick tips to adapt:

Avoid sending to these email addresses, since they’ll start to hard bounce and may be turned into recycled spam traps.

Consider a re-permission or re-engagement campaign to see if subscribers are still interested in hearing from you.

Take cues from purchases, cart abandon/browse, or even in-store visits to know who’s loyal to your brand—use that to fuel sending decisions.

verified by ABC news.

abcnews.go.com/.../story

Abandon Cart emails - P2

HI all!

We’re keen to do some knowledge-sharing with other organisations on use of Wordfly/Tess and organisational email strategy.

We started working with Tessitura last September and moved our emails from Mailchimp to Wordfly at the same time. We’ve got the basics setup but are now keen to make our e-comms more strategic and take advantage of the data we’ve been collecting through ticketing etc.

Topics we’re looking to cover:

Customer email journey from purchase through to email sign up – what messages get sent when via automated, marketing and membership emails

Ownership of audiences – agreeing email schedule across different audiences and internal departments

Granular/targeted marketing emails – smarter, more targeted use of conditional blocks

Our work is split across three main museum sites and covers exhibitions, events, and a Membership scheme.

I’m keen to speak to people about how they’ve managed any of the above within their organisation – either via a short chat online or I can send over some questions. Let me know if you’d be up for sharing 😊

Thanks!
Anne

Could you be a new leader for the Email Strategy Tessitura Community Group?

Are you NA-based? Looking to develop professionally and personally, and deepen your connection with Tessitura – the technology, the members, and the wider arts and culture industry?

We're currently seeking a member based in North America to volunteer as Community Chair for the Email Strategy Community Group and invite you to join us as a community leader. You’ll be surprised by the impact you can have on people’s lives, careers, and institutions!

The Role

Tessitura members come to Community Groups to expand their networks, share their expertise, and connect with like-minded others around common interests. Community Chairs volunteer their time to build and lead these groups, and host meetups that bring members together to share best practices and build relationships. You'll:

- develop and refine critical leadership skills
- build valuable new networks
- take back tangible ideas and learnings to your work
- access training and professional development opportunities
- be recognised for your contribution internally at Tessitura and in the wider community

… and more!

Each Community Group is led by 2-3 co-chairs - you'll join existing Community Chair Miki Govedarica (National Theatre) and another soon-to-be-announced EU-based leader. Community Groups are expected to meet virtually or in-person at least once per year.

Previous experience in group management or facilitation is not required. Tessitura provides initial onboarding, followed by on-going support and various resources. These include a dedicated Community Manager and invitations to events led by the community team, enabling you to connect with our other 100+ Community Chairs globally.

What are your experiences with that, what functionality are you using and why did you choose Prospect2? Is it worth the costs? It would be of great value to us to hear about this.

At the National Gallery we are scoping out Prospect2 at the moment, hoping to move to this platform soon. I'd be keen to touch base with anyone that has experience with it. I'm specifically keen to get a bit more of an understanding of what is possible with Landing Pages and Subscription Forms. We've seen these briefly in our demos, but it is hard to get a sense of how flexible these might be.

Does anyone have much experience using these for more than just email signup? We are curious about whether there is any scope to collect info on these pages and feed it back to Tessi as a CSI or something similar? We are also scheming about whether it is possible to use these to collect RSVPs and update Special Activities, circumnavigating the need to use TypeForm as they don't meet our data storage requirements.

Keen to hear if anyone has experience with anything similar to this?

Thanks, Kate

Email Address Type vs. Contact Point Purposes

Hello! I mentioned this in a sub-thread under my question about Bounces and Unsubscribes, but wanted to pull it out here to zero in on my plan.

I believe I have determined that I want to create EITHER a Contact Point Purpose or an Email Address Type that denotes "Hard Bounce" and "Unsubscribe." My goal in this is not only to exclude them from my ultimate list, but to have my final promoted list be more accurate, and not include folks who would not get the email anyway.

My questions and thoughts are below - appreciate any advice here!!

-Is there an advantage of using one over the other, when it comes to creating Segmentations and also syncing with Wordfly? I don't want to inadvertently create more hassle.

-It seems that "Email Address Type" has to be applied to each individual segment in a segmentation (or extraction, for those still on v15!). So that's a little annoying. But in this case, I could select "Email Address" as the type, which by default will exclude the Hard Bounce and Unsubscribes.

-I know I could create an Output Filter to only select the Primary Email Address. But, I do not think that achieves the goal of excluding constituents from my promotions who won't receive it

-With the Contact Point Purpose, I'd have to choose a Primary email here, and that could be for the entire Segmentation/Extraction so that's appealing. But since we are not currently using Purposes, I'd have to first somehow map the existing database so that active emails become a Primary Contact Point Purpose.

If there are any other pros/cons here that I'm not seeing, please let me know!

I set up a list in List Manager to pull everyone who is expiring at the end of the month, but then I went to set up a list of all those who are three months expired and it is pulling everyone with an expiration date three months ago, even if they have renewed and are current. I tried using a "NOT IN" criteria for Membership Status of Active, but that didn't kick anyone out. For others who have this set up, do you set up as an Extraction so you can suppress people and then have to schedule the Extraction to rerun every month? It seems like there should be a more automatic way of doing this that I'm just missing (please excuse the post-conference covid fog!). Thanks!

Martin Perks from Cheltenham Festivals (UK) here. I'm reaching out with a dual Tessitura/WordFly query that I hope someone can help us with!

Nowadays we regularly make use of the Initiator and Alternative Email functions in Tessitura ticket orders, so that we have more fine control over the recipients of order confirmations and e-tickets (especially for Partner and Festival guest/Press tickets). For cancelled events, we've noticed that the Event Cancellation Utility appears to respect alternative email addresses used against orders. However, as we send the cancellation notice itself through WordFly, we're a bit unclear as to whether WordFly respects any alternatives set in Tessitura, or if it always defaults to the primary email address assigned to a constituent record used for a ticket order, regardless of Initiator etc.

Any clarification on this would be gratefully received, and thanks ever so much in advance,

Has anyone ever had the problem of using a list in WordFly, making changes to the list on the WordFly side (removing subscribers), then having a promotion assigned to the record anyway? Ideally, a promotion would only be added to a record if the email was sent to them--or at least attempted to get sent to them. Do you have any ideas for how one might go about correcting said issue (short of hopping in a time machine and correcting the list on the Tessitura side)?

I've had a play after reading this Litmus blog (https://www.litmus.com/blog/gmail-promotions-tab-updates/) but I'm finding it hard to test it - any tips welcome!

Suggested meet up topic: Interactions Dashboard tutorial

Hello!

The combination of the just-wrapped Innovation Studio and my own light dabbling with the new Interactions cube in v16 (Dev environment) gave me an idea for a guest presentation for an upcoming group meet up. While I'm sure there's more I can help myself to within the Help System, I'd really appreciate a real-time introduction to these new fields and how they flow into widgets. For email reporting, I didn't find the field names self-explanatory (several look very similar to each other) and wasn't able to find a few data points I consider essential. It would be great if Chris Wallingford could do a short, focused walk-through of widget building for email campaigns.

Selflessly, I'd be willing to help plan this, if he would like real-world reporting goals to demo. It was great to see so many organisations and I'm sure this is a topic we'll return to in future.

For anyone who was unable to make it or just wants a recap, the RA team have kindly shared their slides from the session. An extra big thank you to Amber and Rowan for kicking off our first session of 2023.

Tracy also shared some notes after the session. Here they are again in case you've missed them:

The Royal Academy presented on their work using automated and triggered email campaigns

Welcome email - moved from one email with a lot of content to 3 emails with smaller snippets of content. During the Welcome journey, no other emails are sent. They are also testing some incentives (free drinks) to see if that increases engagement and loyalty. With split of information into multiple emails, they have seen an increase in open rate and click through rate and have seen greater engagement with their "Get Started Login" button in the 2nd and 3rd emails

25 and under campaign- collect age when user signs up to be part of the under 25 segment. offer 1/2 price tickets to those registered ages 16-25 (this is a new offer different from their prior offer of free tickets for students) Age is a required input to be part of this group and the RA did some customization to get this data into Tessitura.

Takeaways from the discussion:

Triggered campaigns can be run "out of the box" but many require some customization. For more complicated set up and testing, it is helpful to have a database administrator and/or Sequel technologist on staff.

There was conversation around pre-show and post-show emails and where to house performance specific information so that emails could be more automated (many venues set up an individual email for each performance because there is not consistency in terms of what show logistics look like) Content needs to be populated in Tessitura for each performance in order to create an automated email campaign.

In many cases customizations are required to solve for specific use cases.

Organizations with fewer technical resources would benefit from more information outlining exactly "HOW TO" set up these solutions vs. just an overview of what organizations are doing. (This group is a great place to share specifics if you are able. We will also work to bring in resources from Tessitura and the email platforms to help on this front in the future)

Looking forward to seeing you for our next session on June 7 (further details coming soon)!
