Reminder of TLCC 2023 Education and Audience Development Conference Content

Hey there, everyone! Happy Friday!

I wanted to chime in on Megan's post from earlier this week regarding the call for new proposals for TLCC 2024. Some of you may be wondering what was covered at last year's conference so that you can explore new ideas or build upon previous learning. I was fortunate enough to get to attend last summer, and here's a rundown of some of the sessions that were offered: TLCC Orlando featured a Tessitura-led first look at the new Education Registration Extension, a walk-through of handling group sales and field trips in the system, two sessions entitled "Audience Development for the Next Generation" and "Attracting new audiences with pay-what-you-wish pricing", on-demand bookings, and Megan's awesome case example of using analytics for education.

Hopefully this helps ignite some ideas for what was missing or what is a good jumping off point for future presentations. And as always, your Community Chairs (me, Megan, and Jessica) are always happy to put together a quick meeting where we can all bounce ideas off each other before the proposal deadline on April 10.

TLCC Call for Proposals - Deadline April 10th

Hello everyone!

It would be great to have some more Education & Audience Development proposals for this years TLCC Washington D.C.!

Submit your session idea by Wednesday, April 10.

Do you wonder what topics you might present this August? Anything you are doing with Tessitura to make your day-to-day and season-to-season life easier is guaranteed to interest others. Nothing is too small or too grand to propose.

Below is a list of topics to inspire your session proposal. If any of these sound familiar, then we’d love to hear from you. And if you have an idea that’s not on this list, we're happy to hear that as well!

How...
• Your education or finance department uses Tessitura
• You've transitioned activities and roles to Tessitura v16
• Your website provides self-service opportunities
• Your group sales process was made more efficient

What...
• Integrations you've built with your Tessitura system
• HTML templates you've customized
• Customer journeys you've created for your organization
• Dashboards you've built using the Interactions cube
• Successful strategies you've used to combat fraud and/or chargebacks

Proposals may include one to two presenters, either from the same organization or from different organizations. Presenters and panelists selected for community-led sessions will receive a 25% discount on conference registration.

We’re actively seeking speakers who identify as Black, Indigenous, Latinx, or a person of color; gender-nonconforming or LGBTQIA+; having a disability; neurodivergent; and other historically excluded identities.

Session submissions are due by Wednesday, April 10 at 11:59pm PDT. Selected presenters will be notified by Friday, May 15. If you need assistance with your submission or have questions about content or format, please contact us.

TLCC Scholarships

Tessitura is offering 10 scholarships to TLCC in Washington, D.C., including seven Diversity Scholarships and three Emerging Leaders Scholarships.

Scholars will be awarded complimentary conference registration. This includes:

All sessions
All networking events
All conference meals and refreshment breaks (except Tuesday evening, which is a build-your-own networking night)
Access to conference materials and presentations

Scholars will be responsible for their own travel expenses and lodging.

Please review the eligibility requirements to learn which scholarship may be the right fit for you. If you do not qualify for a scholarship, we encourage you to forward this information to anyone at your organization who does!

All applications and letters of recommendation must be received by April 17, 2024. The Scholarship Committee will notify all candidates about its decision by May 10, 2024.

TLCC Washington D.C. Call for Presenters

The call for presenters for TLCC Washington, D.C. is officially open!

All are welcome to submit presentation proposals, no matter your experience with Tessitura. Presenters will receive a 25% discount on the conference registration fee, and support will be available to help you prepare your presentation. Session proposals are due by Wednesday, 10 April. Learn more and submit your ideas.

Hello! As Community Manager, I wanted to make our EU-based group members aware of two Education-focused events programmed as part of TLCC Gateshead.

If you’re unable to attend yourself next week, feel free to forward this information to a colleague so they can participate in the sessions on your behalf.

The first is an Education panel – ‘Nothing off the whiteboard’, comprising open discussion focused on ticketing and education.

Topics will likely include data collection, reports, metrics, analytics, platform utilisation, adoption, and analysis.

The second is an Education Community discussion, focused on reporting needs and requirements (including analytics).

Managing multiple profiles

Hello

Can anyone offer advise on how you handle child records when they are going through a gender transition. We have a couple of participants who have been set up as one gender and now transitioned but a new record has been created inadvertently.

Also if the parent is unaware of the transition how do you maintain the information for use of the correct pronoun in email conversation with the parent and the child?

I am Jessica Jamieson (she/her) from Canada’s Royal Winnipeg Ballet and I am delighted to be stepping in as co-chair of the awesome Education & Audience Development Tessitura Community!

My Tessitura journey started when I joined the RWB three and half years ago, where I started out as Recreational Division Registrar administrating our recreational school programs. Earlier this year I transitioned to the role of Junior Database Administrator where I work primarily on the Tessitura side of the school – for both our professional and recreational divisions – to build, support and improve our current processes.

I have a long history of working in dance – both as a teacher and an administrator – as well as with a few other local arts organizations. I feel honoured to be in a space where I can watch my students – and my own two children – grow as artists and human beings.

I am excited to be joining Megan and Katie to support the education and audience development community. I look forward to getting to “meet” more people soon! Maybe even some at the CampDocs meeting next week:)

Tessitura and Camp Docs

Hi Everyone!

We are preparing to launch Tessitura in Feb, and recently learned their system isn't compatible with child privacy/data protection laws here in CO. This means we'll be able to sell camp registration in Tessitura, but we'll need to use an outside system to manage liability releases, medical data, etc. We've been strongly encouraged to consider Camp Docs, so if anyone is using that system I'd love to chat about how it's working for you! Or if you're using a different platform that you love, please reach out--I'd love to hear about that too. Looking for Email Platform with Tessitura Integration

Tessitura Integration / Data upload from outside Academy CRM

Hi everyone!

We are currently using an outside CRM system called Media 4 Artists to track our Dance Academy's student enrollment, registrations, auditions, etc. and would like to find a way to sync the data from this system to Tessitura. We don't necessarily need the children's records synced, but we have a large group of adult class students who should be in Tessitura and we also are looking to mark existing Tessitura records as parents of students so that we can better understand that subset of patrons/volunteers/donors/etc. Does anyone else have a similar setup or similar data needs? What solutions or ideas do you have?

One very remedial idea we had was to pull a monthly/quarterly list out of our School enrollment CRM and pay Tessitura to do the data upload/entry, but this feels low-tech and perhaps unsustainable. . .not sure if I'm over complicating it. Any advice would help!

Using Analytics for tracking payment plans

Hi folks,

We are looking to better track the hundreds of payment plans we have going in our Recreational Division School. Has anyone used Analytics to track this? I'd love a dashboard of all the students, their already made payments, and their payments still outstanding. I can get about half of it, but I can't figure out if there is a way, if any, to track payments that are coming. Any help or insight would be wonderful!

Patron Troubles with Edu Form Registration (crosspost)

Hi all! Crossposting from another Education forum.

Wondering if anyone else has run into this issue -

We have the Education plugin/extension and while it normally works just fine, sometimes patrons report the form just not working. We've been unable to replicate the issue, but enough people have trouble with it that it feels significant. Sometimes there's an error message (usually a generic 'An error has occurred please try again later') but sometimes the form doesn't load and shows a blank screen.

Our general troubleshooting tips include using Google Chrome instead of other browsers, using a desktop instead of mobile, clearing the cache and history and restarting the browser, and sometimes just trying again later. It's also pretty inconsisten which one of those tips fixes the issue.

Has anyone else run into this issue of mystery, unreplicable errors with education forms?
