Consortium Leadership Community Meeting Times

Hi team,

Just wanted to say how much I value reading the discussions in these threads - sorry I'm not yet contributing much to them yet. I'll make more of a conscious effort to reply and post going forwards. We are early-ish with a new consortium - I've taken the lead in converting the Adelaide Symphony licence here in Australia into a Consortium with 3 new partners.

I'd love to join the catch up meetings, but the time difference is a bit! The next meeting is a 1.30am start for me... I know we have people all over the world and it's literally impossible to make it work for everyone, but could we perhaps look to a later afternoon US timeslot every now and then which would enable me to join early in the morning here? I'm up for an early start (6am is easy-peasy and 5am is fine on occasion). For example at the moment;

3.30pm EDT (US East Coast)

12.30pm PDT (US West Coast)

8.30pm BST (UK, London)

7.30am NZST (Auckland, New Zealand)

5am ACST (Adelaide, Australia - I'm up for it!)

Although that doesn't cover my good friend Andrew Chew in Perth, Australia, where it will be 3.30am!

So tough to get right - but I'd love to join you all on occasion so please let me know if the group would be happy to work something like the above. Perhaps everyone who would like to attend could list their location and timezone in the replies?

Thank you so much for this feedback!! I think the North American co-chairs can put our heads together with Ashlee to see if there is at least twice a year that we can do a joint group meetup!! For now, perhaps our next meeting in May would be good opportunity to try out a later time, since we haven't solidified a time for that yet!

I'm actually the Asia Pacific Consortium Leadership group rep - I've just had difficulty finding the time to get cracking on setting up a time for those of us in the Southern Hemisphere to connect and get cracking.

Festival life means that 50% of the year it's really tricky for me to coordinate and find extra time in the week - but I promise that I haven't abandoned my ambitions and am always here if you'd like a chat!

Hello Everyone!

I've mentioned this during a lean coffee conversation recently, but I wanted to circle back and ask the greater group.

We have two eco-system partners we are discussing working with: InstantEncore's Appscension and TrueTickets. Talk to me about your experiences with both! I know they serve different purposes, but if YOU could only afford one, which one would you choose and why?

We previously had a mobile app through Appscension, but we got rid of it a few years ago. And we just implemented True Tickets this past fall. The mobile app proved to be popular with a very small subset of our patron base - mainly super fans who were in the building frequently; for everyone else, it was a burden to have to download yet another app on their phone just to access mobile tickets at a venue they only attended once or twice a year. It also ended up being another thing that our digital marketing team had to maintain and update regularly on top of our TNEW and marketing sites, so work often felt like it was happening in triplicate.

With True Tickets, we love that it integrates smoothly with Tessitura - most updating and configuration happens right within the system tables or directly on the Production Season or Performance level of a show. True Tickets handles formatting of the wallet up front when you send them things like logos for the initial setup. Apple Wallet integration has been a huge advantage for us as well as this is something that our patrons have been asking for for years now (note that they don't yet support Google Wallet for Android users). Their standard functionality is all a huge plus too: our patrons can share tickets easily either within their party or transfer ownership completely if they can no longer attend, we know more about who is actually in the house, we can keep a better eye on potential scammer/reseller activity and take steps to prevent and mitigate that, etc.

Overall, I'd say True Tickets provides a more modern experience for patrons.

Thank you to those of you who were able to attend the Consortium leaders community meetup today! We tried a new tool with Lean Coffee Agenda style, rather than Lean Coffee discussion. It was a last minute pivot from Zoom whiteboard (P.S. If anywhere here is a master at Zoom whiteboards, let me know!! We have some questions!)

Today we focused our discussion on the term "power user" and how you define one in your Consortium and how you support them.

Privacy risk assessment, Information Protection Acts, GDPR, etc

Hello all. Sorry to have missed this last meeting, I did have something I wanted to mention, since this is the kind of subject that probably gets brought up more in consortiums than individual organizations...

Georgia (the state) is on the cusp of passing something called the "Consumer Privacy Protection Act". This is supposed to be modeled on a law already passed in Tennessee. Other versions of this law exist in several states, although in some states non-profits are exempt. Not the case here. Some of it seems to fall under GDPR, but not all of it.

I'm wondering if anyone here has had to make updates to their policies and/or procedures based on these laws. What we're finding is that to be in compliance we should conduct a "Privacy Risk Assessment". We're just trying to get some idea of what that might mean and the level of effort involved. It's hard to find any concrete examples of how to do this, or how it applies to organizations such as ours.

Anybody out there had to deal with these laws? What actions did you take to be in compliance?

Sorry for the cross posting if you all already read this in the Marketing forum, I just had a hard time finding a place where this question fit.

Congratulations again, Maureen Cotellese (Past Member)! It was certainly a surprise and a fun way to learn about an incoming colleague.

Code for User/User Group Security Audit

Since May, we've been asked by nearly half of our 10 consortia members to help them pull a list of their users and assigned user groups from Security for auditing purposes. I wrote a bit of code for it the first time around, and I've been tweaking it since. I thought that it might come in handy here for other consortia if they need to audit active/inactive users for a particular organization (if they didn't already have something in use, anyway!). So, hopefully, this can come in use to someone else like it has for me!

Best Practices for Emails and Contact Points/Permissions for Consortiums

Does anyone have any guidance on what are the best practices for emails and contact points / permissions for consortiums? Our member organizations were implemented at different times and are using the Tessitura functionality differently and I'm trying to determine which practices we should standardize on. (Some of the organizations are using contact purposes and/or permissions now and I'm working on setting the others up.) Is it necessary for each organization have it's own control-grouped email type for any of their customers? Should the contact permissions (which are control grouped) be tied to a control-grouped email vs. the non-control grouped one? How should output sets be managed to facilitate the process of each organization pulling emails for their e-news and ticket information (not all of our organizations use WordFly and there are concerns about one organization pulling another's emails). If this has been discussed before or presented at TLCC, I'd love to see that info. If not, is there any interest in discussing this at TLCC?

Carol Keeney & I discussed this a little at TLCC Orlando this month, but I wanted to chime in here in case others had the same question.

Some of this depends on your consortium and how your member organizations have agreed (or not) to share email, but here at the Philadelphia Regional Arts Consortium we do not share email addresses at all. (To get around the Primary email on the General tab, we have a background script that clears the primary indicator from that shared email address and sets the type corresponding to the record creator's control group.)

For contact permissions, we have 3 consortium-wide permissions, and then additional control-grouped permissions for each organization. To help the Consortium staff manage these permissions and provide guidance on list building, we offer the same permissions for each organization:

For contact point purposes, our member organizations have complete flexibility in defining them. (We also offer one "Primary" CPP that mimics the "Primary" checkbox but is applied at the control-group level.) When we first implemented CPPs, we only set the control group if the type was super-specific to one of our organizations and other organizations would just view it as clutter. Our reasoning was that if your email addresses are already using control-grouped types, then it's redundant to have control-grouped CPPS as well. However, it doesn't hurt to have control-grouped CPPs, and we've since realized that it actually makes things easier on everyone if all of the CPPs are consistently control-grouped.

Here's our current setup:

In the above screenshot, each of those Purpose Categories is for a different member organization's control group.

Something to keep in mind, and this applies to postal addresses as well: while different control groups can share an email (or mailing) address and apply their own CPPs to it, they either can't select a salutation type or can only select one that is visible to both control groups. If salutations are important to any of your organizations, you would definitely need to work this out. PRAC's solution to this is already solved by only allow control-grouped email addresses. This does pose a problem for us for mailing addresses, so we have a data standard that states that control-grouped salutations cannot be applied to addresses visible to the entire consortium, and then a script runs overnight and removes any problem salutations from address records.

I did participate in a TLCC presentation on this in 2019 focused around setup and migration to CPPs, and I'm happy to add it to to the documents page for this group, just with the caveat that parts may be out of date or will be with v16.
