We've been on Tessitura since 2004 and have one organization in the database.We have a total of 6992 GL's.Broken down into:579: active and 6413: inactive.We are mainly a receiving house and so we will allocate two GL to each run of events/performances for the year they are performing and the code will start with the year 19xxxx. Due to this we will inactivate the gl after the show has matured. This is to help with the Financial process at end of month and in the final settlement to the Promoter.
So, in a financial sense, you are effectively reporting on 40 organizations, each with a little under 100 GLs, right?
Okay, this is a little closer to our practice. We have been creating separate GLs for every event (i.e. production season) we put on, but also bake fiscal year into Fees and Payment Methods. Ironically, we have not historically used GLs for funds at all, but we are also exporting our information to a large and complex financial system of record (among other things, its "GL" codes are too long to fit into a Tessitura GL).
Sort of, but probably more accurately it's the opposite of that, since the primary account numbers are by type of revenue and not by business unit. (The business units are represented by subaccount numbers) When it breaks down to all business units (not just house museums themselves, but also education, functions, IT, community engagement, admin, etc. ) it ends up being something like 55-60 accounts per classification.
So, for example,
4250-1-015-00 is Foundation Grants for the Library and Archives
4250-1-015-RW is foundation grants for a particular grant funded project in the Library and Archives
4250-1-020-00 is foundation grants for the Arnold House in Lincoln, RI
4250-1-030-00 is foundation grants for Beauport in Gloucester, MA
4250-1-155-00 is foundation grants supporting Information Technology (If only we frequently got money in that bucket!)
4250-1-295-S1 is foundation grants for School Programs in Rhode Island
4250-1-295-S2 is foundation grants for school programs in the Newbury, MA area
etc.
Repeat the whole thing again for admission fees
4400-1-030-00 would be admission fees from Beauport, etc.
and on and on through a bunch of other top level accounts. Some of them are a little nonsensical -
4531-1-030-00 is non-taxable farm products/plant sales for Beauport, which is not a farm and doesn't sell plants. But it seemed easier to have them all consistent up front than trying to tailor them to the specific business activities per site.
That's actually the way that our external GL system is set up: in fact the "department" doesn't show up until the fourth block of numbers.
Fees, Funds, and Payment Methods are the only GL's we don't add a fiscal year, and they are purely number-based gl's (the event gl's start with the year but then are a combination of the promoter and show initials). I also recently had to change all of the number gl's as we moved to a new Finance System and our Finance department changed their gl structure in the process.
We have one organization and have been on Tessitura over 17 years.
We have 143 active GL #s (i.e. T_GL_ACCOUNT.inactive = N) and 231 inactive ones.

Sorry, was off last week, but figured I would share ours as well. We present performances ourselves, rent out the hall, have a sister organization and then have 6 resident companies. Also, we were a consortium that was sort of founded and brought together all at the same time, so everything has been in Tessitura for approximately 11 years. That said, like many others, we seem to have a much smaller number than you. Also, we have undergone approximately 2 different GL paradigm shifts over those 11 years, the last of which being approximately 3 years ago.
