I have removed plans from constituent records but they are still showing up in Analytics after the overnight load. Does anyone have an answer of why this might be?

Report/Widget to view upcoming performances which portfolio members will be attending

Hi all.

I'm trying to figure out how to best create dashboard/widget that would show me the number of people in a portfolio that are attending a concert and who those people are. The idea is to make it easier for gift officers to decide which concerts to prioritize attending without having to explore individual records. I know that there is the column option within the portfolio page, but that doesn't give an overview, only the constituents' next performances. I'd like something that makes it easy to plan out weeks or even months in advance.

I currently have a pivot table set up showing the performances/date with the value being the constituent number which is filtered to a dynamic list, but I still have to go refresh the list in list manager and then wait overnight for any changes to take place. Does anyone have any suggestions for a better way of doing this?

You can have the list auto-generate daily by setting up a Generate a List utility as a scheduled report. If you set it to regenerate each night, the results should be ready in Analytics the next morning. Does this solve your issue?

Full loads in hosting happen overnight Sunday into Monday. If you'd like a one-off full, just request via support ticket: Can I have an Analytics full dataload run? | Tessitura Network Customer Hub. Plans are on a long list of "how do we remove deleted things during incremental loads" more broadly and effectively than we do currently.

We are on Ramp. Is there a way to see what kind of load the last one was or a schedule of when a full load will happen?

Was that an incremental or full load that happened? I believe that deleted plans will continue to appear until a full load happens.

Hi Heath. Once I drilled down to the Order_IDs I found the orders that were dated 8/1/24 which explains why it was wrapping to week 31. I appreciate your help!

Running Weekly Totals Jumping to Week 31

Hi,

As part of our subs reporting I have a Running Weekly Totals dashboard that starts with the first week of January. It shows numbers for Week 13 of the year which we are currently in, but it is lower than the true number of packages we have currently sold for the year. It then jumps from Week 13 to Week 31 and Week 31 is displaying the correct total for packages sold so far this year. I know we haven't completed Week 13 yet, but why would the Running Weekly Total jump from Week 13 to Week 31?

Hello!

Is there a formula which isolates ticket sales from the time of the event minus 2 hours? I can do it manually by isolating the hours, but hoping to have a solution which automatically updates based on the varied times for each event.

My hope is to create a line bar graph showing final sale for the last two hours for an event.

See if a filter on the value itself will help. Try hovering over the value on the Values panel and clicking the funnel icon. Then filter by values > 0. If that doesn't do the trick, we can also try altering the formula itself to return a NULL instead of a 0 from the IF statement...

, 1 , NULL instead of , 1 , 0

That worked great and yielded this graph.

Is there a way to automatically filter so only the time of the event, one hour before and two hours before show up? As you can see, although they are zero, values are showing up for hour 0 and hour 13.

Sure! Please see the screenshots below. Using a custom formula to filter a widget is a super useful bit of functionality. It unlocks a lot of efficient widgets.

The widget is now filtered by that formula. That filter is always viewed in light of the current set of rows. This is why we set a 'Row' of 'Order ID', so that the formula is now asking "Show me the Order IDs where there is X Price Type and not Y Price Type". If you had a 'Row' of Constituent ID, or Sort/Name, it would be asking "Show me the Constituent IDs / Sort Name where there is X Price Type and not Y Price Type".

Whenever possible, try to re-state your desired question to Analytics in simple terms. That helps me keep focused on the right outcome, and helps me design dashboards and widgets that are as clean/streamlined as possible.

Combination of Price Types in orders

Hi all

I am keen to be able to see all orders that have have specific price types or better still order that have a price type but are missing another.

Ie We have child tickets available for purchase but these can only be purchased if an adult ticket is also purchased. I would like to be able to check if there are any orders (an which ones are they) that fit this scenario.

Can anyone guide me with a formula or best use of filters to help display this?

I think you could use something like this:

Set a 'Row' of 'Order ID'

This is saying "If there are '2 and Under' tickets, and no 'ETIX Adult' tickets, return '1', otherwise, return '0'".

Then, filter the widget by that formula > 0.

Then, hide (but don't delete) that formula.

Set a Row of 'Price Type'

Set a new Value of 'Ticket Count'

You should have a widget that looks like this:

This is saying 'Here is a list of orders that have '2 and under as a Price Type, and don't have 'ETIX adult' as a Price Type. Also, here are the the Price Types (and counts of those Price Types) within those orders'

You would filter this widget by whatever season(s) you need.

Hi Scott. We are talking Order Date (Calendar week of year) [weeks in date]?

If so it could be orders dated July2023 wrapping around into the total. You could filter by year

It you duplicate the widget and take out the RSUM you should be able to drill down into that week to see the Order_IDs that are giving you a hard time. You might want to add in the Order ID as a field to debug further.

And that's exactly what happened! We have a "Head Count" price layer, and my dashboard pulls our Ticket Price pricing layer. Thankfully it was a super small number (5 patrons total) so I'm not too concerned about fixing it. I'm just glad I know where the issue came from.

So I finally got my zip code dashboard built the way I wanted it (took freakin long enough). I added a fun area map to show the actual states where people were coming from. I though having CA when our org is in CT was a little weird, so I did some investigating.

There were 27 tickets sold under the 99999 zip code (which was our workaround in our old system and in v15/v16 for the required complete postal record). I knew those had to be constituent records because my front desk kids would never put that in as a survey question.

Anyway, I was right and that they were attached to constituents. I added the Constituent Display name as a row to find which exact ones. However, this is where it gets weird; in the Total Ticket Count Column, there are now entire rows with 0 in that column. My dashboard is set up so that if it is 0, it should not show up at all.

I also checked the Mode of Sale and all of these were done as Walk-Up Sales, meaning one of my front desk associates had to type each name into Constituent Search in QuickSale to process it. And if its GA, our GA performances are set to auto-attend. And I went back and looked at all of these records and their Order history. All the 0 tickets are from the same event, but all of them got marked as Attended. So those 0 rows should have a real number in them and they don't.

Can someone explain what could have happened before I open a support ticket?

Could those sales be made up of price layers of which none is a "Ticket Price" layer?

Only price layers in the Ticket Price price category are counted for this field. If multiple Ticket Price price layers exist for a performance, the Ticket Price price layer with the min start date and min price layer type rank is counted. If you break out counts by price layer, layers in all other categories will have a count of 0.

That note comes from the Ticket Count and Seat Count values, but isn't mentioned against the Attended Count value. It should be stated for SLIs (not membership scans) and I'll get a documentation update submitted.

Just tried it and the numbers match in both Attended Count and Ticket Count. It's all still pulling 0.

I'm curious -- have you tried adding in a column for Ticket Count (in addition to attended count)? I'm wondering if the tickets are showing up there.
