Report/Widget to view upcoming performances which portfolio members will be attending

Hi all.

I'm trying to figure out how to best create dashboard/widget that would show me the number of people in a portfolio that are attending a concert and who those people are. The idea is to make it easier for gift officers to decide which concerts to prioritize attending without having to explore individual records. I know that there is the column option within the portfolio page, but that doesn't give an overview, only the constituents' next performances. I'd like something that makes it easy to plan out weeks or even months in advance.

I currently have a pivot table set up showing the performances/date with the value being the constituent number which is filtered to a dynamic list, but I still have to go refresh the list in list manager and then wait overnight for any changes to take place. Does anyone have any suggestions for a better way of doing this?

I have removed plans from constituent records but they are still showing up in Analytics after the overnight load. Does anyone have an answer of why this might be?

Hello!

Is there a formula which isolates ticket sales from the time of the event minus 2 hours? I can do it manually by isolating the hours, but hoping to have a solution which automatically updates based on the varied times for each event.

My hope is to create a line bar graph showing final sale for the last two hours for an event.

Combination of Price Types in orders

Hi all

I am keen to be able to see all orders that have have specific price types or better still order that have a price type but are missing another.

Ie We have child tickets available for purchase but these can only be purchased if an adult ticket is also purchased. I would like to be able to check if there are any orders (an which ones are they) that fit this scenario.

Can anyone guide me with a formula or best use of filters to help display this?

Analytics - Postcode by Ticket Count Pulling 0 Tickets on Some Rows

So I finally got my zip code dashboard built the way I wanted it (took freakin long enough). I added a fun area map to show the actual states where people were coming from. I though having CA when our org is in CT was a little weird, so I did some investigating.

There were 27 tickets sold under the 99999 zip code (which was our workaround in our old system and in v15/v16 for the required complete postal record). I knew those had to be constituent records because my front desk kids would never put that in as a survey question.

Anyway, I was right and that they were attached to constituents. I added the Constituent Display name as a row to find which exact ones. However, this is where it gets weird; in the Total Ticket Count Column, there are now entire rows with 0 in that column. My dashboard is set up so that if it is 0, it should not show up at all.

I also checked the Mode of Sale and all of these were done as Walk-Up Sales, meaning one of my front desk associates had to type each name into Constituent Search in QuickSale to process it. And if its GA, our GA performances are set to auto-attend. And I went back and looked at all of these records and their Order history. All the 0 tickets are from the same event, but all of them got marked as Attended. So those 0 rows should have a real number in them and they don't.

Can someone explain what could have happened before I open a support ticket?

Hello,

I need help finding out the total number of members on an active membership.

I have found my total membership count in analytics (6,352 ) but since we have bunch of levels of memberships with different amounts of people per membership.

For example a family membership could have 3-6 individuals/constituents on it.

I need to find out for the 6,352 active memberships we have currently, how many total members is that?

Total number of memberships vs. Total number of members (constituents with an active membership on their record).

Please help me out as I am very new tessitura and need help ASAP!

RSUM question

I'm using RSUM to tally up daily ticket sales.

But where there is a blank cell in the data table (because there were no sales that day) it leaves a blank datapoint on the chart as below. Anyone got a fix for this?

Donor Lifecycle Reporting

I'd like to develop a report, or a series if need be, that shows how many of our donors are in the various stages of the donor lifecycle (current donor, lapsing donor, lapsed, retained, acquired). I've seen two iterations of this in Blackbaud's NXT program and am curious how close we can get in Tessitura.

The goal is to be able to generate a list of constituents within each stage for outreach.

Does anyone have experience setting up something similar? Would love to hear about your approach to this.

In the screen grab below (from a Blackbaud dashboard) the pie chart represents a real-time snapshot. The line graph shows these lifecycles over time.

Running Weekly Totals Jumping to Week 31

Hi,

As part of our subs reporting I have a Running Weekly Totals dashboard that starts with the first week of January. It shows numbers for Week 13 of the year which we are currently in, but it is lower than the true number of packages we have currently sold for the year. It then jumps from Week 13 to Week 31 and Week 31 is displaying the correct total for packages sold so far this year. I know we haven't completed Week 13 yet, but why would the Running Weekly Total jump from Week 13 to Week 31?

Tracking 0 Registrations

Hello! I created a Test dashboard that pulls all of our art school classes for a specific season. I'm trying to figure out if there's a criteria or a simple formula that pulls classes with 0 registrations. I attached my dashboard below. I thought using a conditional formula that is equal to 0 for registrations but there's no change. One class called Studio Art Sampler: Sequential Monoprinting, we know for sure that it has 0 registrations.

Our Art School department would like to see both the # of registrations and 0 registrations to see classes that aren't getting attention.

Avg unique productions per order - overall avg

Hi,

Working on a Dashboard to display a bunch of fun stats about our DYO (Design-Your-Own) packages where patrons can select 3-6 unique productions. I am able to break out the Num of Unique Productions per order (each order on it's own line), but have not been successful in finding a way to show the avg num of unique productions selected overall this season for DYOs.

Has anyone done anything like this before?

No "Analyze It" Button on My Line Graph

I am trying to build a dashboard to forecast revenue from School Groups. I am on v16, so I know forecasting is a thing.

I have this dashboard set up as a Line Graph, X-Axis is Performance Date, Value is Ticket Paid Amount, Break by is Production Season.

I then have it filtered down to just our School Group production season and the Price Type filter for all the paid for tours (to filter out all the grant funded ones that we don't want).

I am looking everywhere and can't find the Analyze It button anywhere! I am on the System Admin user group, so I know its not a permissions thing (I don't think...correct me if I'm wrong).

Can anyone help me?! I need it by tomorrow!

Ticket Target for Multiple Production Seasons

Hi everyone,

I'm trying to work out if it's possible to display a ticket target within a pivot widget that shows the different targets for each Prod Season.

We currently have a simple widget with this years production seasons, showing total tickets, value, etc, and would love to add a column of ticket target to this. I've screenshot a simplified version below, and while I would normally add targets as a manual number on a line graph, it's not dynamic when taking into account Prod Seasons. Is there formula that could work along the lines of, if prod season = 'x', then return value of 10000?

savings files from Analytics, but no Quick Access links anymore

Hi folks,

I've got (too) many folders and subfolders to store all my files and research from Tessitura. Normally, I'd be able to save a file from Analytics, click on one of the pre-selected folders on the left hand side of File Explorer, and deposit a usable, accessible file. In the last few days, the 'Quick Access' links I'd set up to specific sub-folders have vanished.

Normally, I'd be able to click into (for instance '2023 Attrevs', or '2024 Analytics', or folders like that. Now, however, I have to click in through a half-dozen other folders in File Explorer to save the new file anywhere useful. It won't let me save folders to the Quick Access section either.

Has anyone else run across this? Is this a local, organization internet policy thing? Is this a change on Tessitura's AWS end?

Last Membership Option

I know there's a Next Membership option, but I thought there was also a Last Membership? Looking at Micro trends, I want to see the current membership level and amount in comparison to the previous membership level and amount so I can see how much each person upgraded from last to current.

bulk constituent search for Constituency update

Hi all,

I'm looking to bulk add a Constituency for our volunteers. The wrinkle is that I'm not sure which of the 200+ folks are currently in Tessitura. We don't want to create records for their own sake, but recognize those folks who are already in place, and mark them. The order of operations is:

figure out which of the volunteers is already in Tessitura
mark them with the constituency (if not already marked)
adjust start/end dates as appropriate

Is this possible with vanilla Tessitura? I can enlist Extended Services, but I'd like to know if this is doable without SQL work.

Week over Week for Performance Sales?

I am looking to create a dashboard for our 4 MAD parties, just to see where we were 2 weeks before each party for sales (we are currently 2 weeks before our 4th party and I want to see if ticket sales are on track compared to the other 3).

I want a line graph where each line is a different one of those performances in that Production Season. So my "Break By" is Performance and my filter is "Production Season" just to get those 4. And my "Value" is Ticket Count.

The problem I'm running into is my X-Axis. I don't know what filter/formula to use since the week over week isn't by year. All 4 of these events are in the same fiscal year (October, December, February, March). How do I tell Tessitura "Give me sales by week for each of these 4 performances starting with the first on-sale date of each." And I want the lines layered on top of each other, so that day 1 of on-sale is day 1 for all 4, regardless of actual date...and so on and so on.

Is that possible doing something canned, or do I have to start getting into the custom formulas?

Is anyone tracking ticket exchanges amounts and counts in analytics?

Donor Reporting - New Donors and Lapsed Donors by date range

I am pretty new to Tessitura but I just want to know about the most efficient way to create a report on Tessitura that will give me a count of new donors by month and also a count of lapsed donors (donor who have not given in more than a year) by month.

Budget Amount Analytics

Hello to the Brain Trust,

I am trying to create a dashboard with budget amount for a 3-show run. When using a pivot table, if I add it to "Rows" I get what I need, but I really need it to live in the "Values" field so that I can run a formula like [Total Ticket Paid Amount]-[Total Budget Amount].

The problem is it does not return the right amounts. When I looked at documentation there is a caution that " This field should not be used as a Value field without applying multi-pass aggregation", my problem, I have NO IDEA what that means or even how to do it.

Has someone done this successfully and can I steal your formula?

Recognizing Legacy Constituent ID's in Tess Analytics

We switched over to Tess in 2019 and uploaded data from Legacy for all shows prior to 2019. I am hoping to capture constituent breakdowns in analytics using constituent ID's associated with Legacy. Is this possible? The end goal would be to display widgets showing the constituent breakdowns for shows prior to 2019 when we used Legacy.

Encore Integration broken in v16?

Hi there,

Celebrity Series currently uses the DCM Encore Integration v2.0 to facilitate the integration of Tessitura and DCM Encore (telefundraising/telemarketing software).

We discovered that the Encore Integration is broken - every time we run the utility, it results in files with no data, regardless of the data transmission type.

The integration seemingly broke after we upgraded to v16 in Fall 2023. We currently have a ticket in with Tessitura to investigate this issue.

Are you a v16 user who uses the Encore Integration? Did it break after you upgraded? If so, were you able to resolve it?

Comp Reason Codes Reporting

Hey Reporting & Analytics experts!

We are trying to report on Comp Reason codes but are struggling to get the numbers right in analytics. Does anyone know of a way to report on this outside of analytics so that we can verify the numbers? Does anyone possibly have a report written to pull this information? We would really like to be able to review and report on how many comps we are using monthly to evaluate our practices but this seems to be harder than it should be.

Forecasting Up to a Specific Date

Hopefully a straightforward question for you. I've not done much with forecasting just yet but am exploring what's possible now.

It's easy enough to see how to forceast over the next x many days, but how about up to a specific date? Such as the end of a season?
