Member Help with records

Hello,

I am quite new to Tessitura and want to confirm best practices for households that have more than one membership on their record.

We are a museum and most of the time we will have a family purchase a Pair and Youth membership instead of a family membership because it is cheaper for them and they do not need the extra spots.

We have divided our youth memberships out from the rest of the general membership for this reason so a youth membership can be sold with adult/pair membership.

Currently, after the data transfer I have household records that look like this...

What is the best practice for memberships to live on... should they live on the individual/affiliate record in a household or should the the youth and adult membership just live on the household record not connect to any affiliate in the household? (Even though the adult and youth own their own membership, not the household).

I have drawn a picture of the two structure types, please let me know what the "correct" way to proceed to clean up my data.

My thoughts on version 2: not everyone on the household record has the membership, so it should live on the affiliate/individual record

Membership Best Practices

Declined Benefits and Complimentary Admission

Hello!

I'm Gabby Awuma, and I work at the National Museum of Women in the Arts in Washington, DC. We reopened our museum to the public and migrated to Tessitura v16 last year. A recent issue we (mostly our Visitor Services team) has come across is that members who decline or waive their benefits cannot reserve tickets for free online or at the ticketing desk through our Visitor Services staff. We understand that Tessitura is working correctly in not providing that benefit, but it is an intangible benefit we offer to members and donors who decline their benefits and/or give through DAFs.

My question is, has anyone found a workaround or created a way to make this work even if it's internal staff reserving comp tickets for the member/donor on their behalf?

Any and all insights are welcome! Thanks so much in advance!

Total Number of Members

Hello,

I need help finding out the total number of members on an active membership.

I have found my total membership count in analytics (6,352 ) but since we have bunch of levels of memberships with different amounts of people per membership.

For example a family membership could have 3-6 individuals/constituents on it.

I need to find out for the 6,352 active memberships we have currently, how many total members is that?

Total number of memberships vs. Total number of members (constituents with an active membership on their record).

Please help me out as I am very new tessitura and need help ASAP!

Memberships sold on 29th Feb leap day- expiration date may need amending

Hello,

This might be of help to others-

If you sold any annual memberships on the 29th February, you might want to double check their expiration/end dates line up with your membership offer. Expected behavior would be end date of 28th Feb 2025, but ours showed as 27th Feb.

TN Support have logged it as a new defect now.

Membership Renewal Untilty Report 0

Hello,

I am very new to Tessitura as my organization changed our systems when I was away during Parental Leave and I have been back for a week. I have been training myself through the documentation online help. I ran the Member Renewal Notice in reports and utilities and saw it placed an attribute on the Contact Log in the engagement tab.

I am trying to figure out how to get more information filled in this attribute field like the amount requested and user. How do I get Tessitura to pull this information into my report? I have read all the documentation but I am coming up short on where this information could be found in the system.

Issue with the header for a member account

We have an odd issue with a member account . Contribution was processed and appears in the Contributions tab of the member's account.. Membership appears in the the History tab of the member's account and is active. But for some reason, the membership information is not appearing on the member's account header. Any advice on how to fix this issue would be appreciated.

Is anyone using Tess for a loyalty program and tracking associated points?

Donate2 + Monthly Memberships

Hi all,

We're looking to launch monthly memberships using Donate2 very soon. We'd like to offer memberships that are $7/month instead of a lump sum $80/year.

In Tessitura, we'd set up new membership levels that expire after a month (instead of 12). We'd likely set up a production season with month-long performances, too (and price types etc.) This means that there would be a performance for the month of Jan 1st-Feb 1st, Jan 2nd-Feb 2nd, Jan 3rd-Feb 3rd, etc - 365 new performances per year, total.

I'm curious if anyone else has approached Donate2/monthly memberships this way, and what you might have to say about it! Also curious if there are any other ways to approach this that we may not have thought of.

Membership Discounts in Version 15

Hello,

We are having an issue with membership discounts. We offer a 20% discount for memberships at certain times of year and use a promo code for that. Is there a way to do that while still having a fixed amount for start and end amount in your membership price. Due to our pricing tiers we cannot use a price range because it will overlap.

Individual: $100 - 20% off is $80

Dual: $140 - 20% off is $112

Family: $200 - 20% off is $160

Family +CG: $220 - 20% off is $176

Since $176 could fall into either a Family or a Family + CG membership when the contribution comes through Tessitura assigns these as Family memberships; which is not necessarily correct. We still offer full price memberships during this time. You must use the promo code to receive the 20% discount.

For example: we don't want someone purchasing a Family + CG membership with the 20% off to be assigned a Family membership and we also don't want someone purchasing a Family membership at full price $200 to be assigned a Family+CG membership.

Is there somewhere else in Tessitura that we can indicate the lower discounted prices, similar to how we would for discounted admission tickets? So that the chart for membership levels doesn't need to change?

Incorrect Contribution-Membership Association

Our institution has setup our annual Gala as an elevated event which is not associated with any membership organizations. However, in doing an audit of last year's contributions, I've found that last years Gala contributions were associated with constituent's memberships. I have spot checked several donors with contributions for this year's Gala and the gifts/pledges are not being associated with memberships, as expected.

As far as I have been able to research, there is no difference between last year's and this year's Gala setups - both are elevated events, associated with identical funds, and are in no way connected to membership as far as I can see. Has anyone else run into this behavior or have any ideas what might be causing this issue? Currently it is skewing some of our giving summaries since last year's giving summaries do include Gala contributions while this year's summaries do not include Gala contributions.

Membership Totals and Expirations

I’ve looked through the forums and documentation and haven’t found an answer to my issues.

Every month, my financial team needs to know the Total Amount of Memberships (as in total Memberships for the whole business, and just how that number grows or shrinks per month) as well as the Total Amount of Individual Members per month.

I’ve found that this information is accessible by Dashboards, but here is my problem:

Since we’ve had a fairly busy launch, I haven’t had any time to fill out some of my monthly reports, and the team needs my totals for November and December. I can see in our membership Dashboard the amounts that we currently have, but not the information per month. I was trying to find a report of all Membership expirations over the course of those months, as I could just subtract them from the amount of new purchases and renewals we’ve had each month, but I can’t seem to find that information anywhere.

For example, here are some previous months info:

Active Members	Apr	May
Total # memberships	4,243	4,153
Total # members	12,373	12,168

I’ve tried creating a dashboard, but none of my formulas seem to take, there’s always an error message no matter what criteria I select.

How Can I see the Total Amount of Memberships as well as Total Individual Members just by month? Including previous months.
How can I see how many un-renewed expirations (lapsed) have occurred over the course of a month?

Membership Renewal Utility?

Hello!

I'm new (ish) to my institution and they were not previously aware that the Membership Update Utility needed to be run on a regular basis and therefore has not been run since memberships were rolled out. We are now looking into implementing scheduled runs of the utility but are facing an issue:

Because old (ie. 2021 and before) memberships were never appropriately renewed or deactivated, all recent contributions have been inadvertently associated with these old membership instead of renewing and creating up to date memberships. Now, when we try to run the Membership Update Utility, because the old membership is long past it's expiration/lapse date the utility deactivates the old membership and the constituent is left with no active membership, despite having made a gift recently.

Does anyone know of an easy utility or fix that can correct this? The only route I am seeing currently is to manually create new memberships for anyone that has fallen into this crack (several hundred individuals) and correct the recent contribution to be associated with the new membership (I assume this is possible but have not looked into it). Hoping not to do this since that will take quite some time but let me know if anyone has any pointers. Thank you!

Single-Use Complimentary Admission Passes Redemption

We've signed up with MuseumAnywhere for our digital membership cards. Trying to figure out what steps are involved to account for/redeem single-use complimentary admission passes in Tessitura, after they are scanned into MuseumAnywhere web app. Any insight would be appreciated!

Fixed to rolling membership

In our consortium, one of our organizations is currently using a fixed membership to track annual donations. They are interested in changing their membership structure to a rolling membership to better manage their donors and when solicitations for annual gifts should be sent.

I’m curious if anyone has changed their membership structure from fixed to rolling? If so, what steps did you take? Were there any hurdles you encountered? Is there something you wish you would have done differently?

Membership as a contribution & VAT in v16

Hi all,

We have recently upgraded to v16 in the past few months and with it we migrated our membership structure from product over to contribution and are now trying to figure out the finance/reporting side of it all. Because our memberships used to be products, we would calculate VAT on them using a custom report but this no longer works (because they are now contributions). Does anyone know of any reports or any other way that would allow us to account for this?

Monthly Memberships - Insights?

We are looking at adding a monthly memberships. We are researching right now and are looking from feedback from other Tess users that are taking advantage of this. We are currently on v15 but will be upgrading to v16 around January/February 2024.

Managing Membership price increases and DDs

What's the best way to implement a price increases for Membership Levels within a Membership Organisation? Request is for change as of 1 Jan. We are due to run the DD renewals for January imminently - how do we run these at the new prices, whilst keeping the old prices for new sign ups until 1 Jan? Or do we just have to change them as of the renewals ie now?

Any thoughts welcome!

Membership Ticketing Structure for Timed Ticket Exhibitions

I am Chris from BkM in NYC, and we are currently onboarding on V16! Exciting.

I am wondering if any attraction based orgs with timed ticketed shows separate from General Admission offer untimed tickets for their members? What is your structure like? Do you have a price zone for untimed? Do you have separate performances/productions just for members? How does the reporting go for you? Happy with it?

Alternatively, if you offer timed tickets for your members, what does that look like? Do you reserve tickets for them? Upsell opportunities you find helpful? Are they upset?

Trouble converting Household into Individual

Hi all,

I've never had this issue and cannot tell what is causing it. I am attempting to convert a Household record into an Individual record, and mapping the numerous existing affiliates accordingly. I receive the following Invalid Entry notice: The Converted household may only be merged with the A1 or A2 affiliate.

As far as I can tell, I am correctly selecting the existing A1 to merge into the household account. Can anyone tell me what I am doing wrong?

New discounted membership levels not getting ticket access

Good morning!

We have discounted member tickets that require a membership (obviously) to access. I added a discounted membership option to our organization for a membership push we have ongoing. This is applying a membership and giving the users a constituency correctly. However, they are not being switched to the Member Web mode of sale to be able to access the member tickets early like they should be able to.

I'm sure it's something simple, but I have been so far unable to figure out how to make that available to people who got the discounted memberships.

Retroactive application of Memberships

Hi all!

When our organization adopted Tessitura we included a customization of "memberships as products" and opted not to set up a membership organization that would be generated through contributions. In the years since, we've determined that we desperately need better donor metrics and that the "standard" membership organization feature should function properly alongside memberships as products.

We are planning on implementing new membership organizations to track our two giving streams, but were wondering if there is a way to retroactively apply memberships to records with contributions dating back a few years? This way we would be able to get more accurate metrics rather than having a 100% "new" donor rate in the first year. Has anyone else come up with a script or procedure that would allow us to do this?
