Tessitura/Sage Intacct JE export/import

Hello!

We are currently implementing Sage Intacct and Tessitura - at the same time. Is there anyone who would be willing to discuss the Tessitura report used to create the JE import into Intacct? And the process to run this report and import it? My understanding is that the GL code in Tessitura is in one field, but this does not correspond to the GL code and dimensions in Intacct. Curious to know if Tessitura had to write a custom report for anyone.

We would also be interested in an API between Tessitura and Intacct if there is enough interest and enough users of both systems.

Invoice Issues

When we receive a payment on an invoice and pay it in the system it is creating a "refund" credit in our GL posting and basically cancelling that payment out, so it looks like none of our AR's are being paid. Has anyone else heard of or delt with this issue?

Tessitura Merchant Services transition

We plan to switch from WorldPay - Fiserv to Tessitura Merchant Services during the summer 2024. Currently our accounting team records posting reports (including Tess batches) by department (Web transactions, Box Office, Development, Education and Rentals) and these posting reports reconcile with the different merchant accounts smoothly. Tessitura Merchant Services allows for only a single merchant account so we plan to make some internal changes such as: grouping Tessitura batches in a daily posting report that allows daily reconciliation by credit card brand type. We also plan to implement a Tessitura batch closing / posting policy to mimic Ayden settlements batching. Another options would be to set up Stores but we will still be dealing with a single merchant account / bank deposit.

We understand TMS provides a reconciliation tool to flag ghost transactions, duplicate deposits and other glitches. We are more concerned with identifying credit card deposits in transit. For example specific detail of transactions included in our daily Tess posting report but not yet in the bank. We are aware there are other reports available such as the TMS summary/detail gateway reports.

We are looking for tips and suggestions from any other organization that has already transitioned to TMS under similar circumstances.

Boilerplate Language for Bank Disputes?

Hello Hive Mind.

We have been dealing with a large amount of fraudulent credit card activity though our website. In effort to combat some of the chargebacks that would have come from those charges, we went ahead and refunded any order that was flagged for having used a fraudulent card. However, for several of the orders that were refunded; the tickets were sold on a 3rd party website who showed up with the refunded tickets night of show. As a rule we make the patrons purchase new tickets if they still want to attend( as I am sure everyone else here does). We are now getting requests from those patrons requesting a letter to send to their bank to assist in their dispute for the original purchase through the third party. Does anyone have boiler plate language that they provide to patrons in this situation?

Is there a way to change the owner of an "On Account" balance?

So long story short:

My organization hosted a facility rental for another organization. The order got build on the organization's constituent record. However, that org is associated with another Individual constituent record (the President of the organization).

The total owed was $400. $200 of that got paid under the organization's record under the correct order. However, a check got mailed later for the other $200, which got put in as an orderless transaction on the Individual record (still not sure how, we had just gotten the Tessitura at this point). To try and correct the problem, our former Finance Manager put the $200 "On Accont" on the individual's record.

What I need to do is take the $200 off the Individual's record and use it to pay off the $200 balance due on the Organization's facility rental order. Is that possible? If so, how? If not, what are my options to get this cleared?

Does Elavon Support AVS?

Question about Tessitura Merchant Services (TMS) and Controlled Batches

I have a question about using TMS and Controlled Batches. We don't use a lot of them, but we certainly use them for:

Event Cancellation
Pledge Billing

Does this documentation mean that until such a time as Tessitura removes controlled batches, and presumably updates the utilities that rely on them, TMS users cannot use the listed utilities?

Controlled batches cannot be used with EMV or Secure Deviceless Entry payments. If your fundraising department was using controlled batches they will need to transition to uncontrolled batches.

Note: Controlled batch functionality will be removed in a future version of Tessitura. The Network recommends using uncontrolled batch types, except when a controlled batch is required for the following utilities: Contribution Import Utility, Event Cancellation Utility, On Account Funds Disbursement Utility, Direct Debit Order Billing, Direct Debit Pledge Bills, SEPA Direct Debit Order Billing, and SEPA Direct Debit Pledge Billing.

Inactivating Payment Method

Hi All

Our Venue is closing for redevelopment for a couple of years so we are starting to look at winding down certain areas of Tess whilst we're closed. One of the is Gift Vouchers. Laws in australia is that gift vouchers are valid for 3 years from purchase date so we are looking at closing off gift voucher option.

What I want to know is - How do we go about this without affecting the current valid gift certificates? It looks like we are able to Inactivate the paymnt method which I believe will stop this appearing as availble to be used for new gift vouchers purchased but I suspect it will also mean that it will prevent consumers redeeming their gift vouchers as well.

Is there a way around this?

Pledge Balance Detail Report Incorrect Due Date

Hi All,

I will be cross posting this in the Reporting and Analytics and Finance forums let me know if one or the other is a better option.

We have been running into an issue where the Due Date that is being displayed on the Pledge Balance Detail report is showing up incorrectly. I have been able to figure out that it due to an adjustment that occurred to the pledges on the Due Date that is being displayed so it gets stuck and doesn't show the true next due date.

Has anyone run into this issue and do you maybe have a fix for this? I've looking into trying to change the date of the adjustment in the Payment Schedule tab through an adjustment and through the contribution constituent page. However because those dates and passed I don't have access to changing anything.

Below is a screenshot of the Balance Detail Report for some of our constituents that does not show the most up to date due date.

High numbers of disputes lately

Hello everyone,

We're with Windcave and we recently saw a sudden and dramatic increase in disputes of transactions. We normally have maybe a couple of a year, but we've seen over a dozen in the last week. We didn't have AVS configured, so we just activated it which will hopefully help.

New accounts are being created on TNEW at the same time as the purchase. The names on the accounts and the names given for the credit cards match, but they don't match the name given on the dispute notification. Multiple tickets are being purchased, but most of them have not been scanned in.

Has anyone else experienced this?

For those of you who have switched to Tessitura Merchant Services, what did you do with your old emv devices? We made the switch from Worldpay, and now have a handful and a half of old emv devices just sitting in a box in storage, taking up space....

Windcave vs. Tessitura Settlement

We are trying to compare our Tessitura daily transactions to Windcave and Elavon (Payments Insider reporting), but the transactions are settled at different times of the day.

Does anyone else have this issue? Have you found an easy way to deal with it?

TMS Chargeback Increase

Our organization transitioned to TMS in early August 2023. Since that time, our chargebacks have increased to 5 times what our annual average was pre-TMS in just 3 months. I've done a fair amount of research and digging into this and discovered that we have received over 1,000 fraudulent attempted ticketing purchases from cards issued in India, Thailand, and Malaysia (we are in the US), 50 of which successfully completed purchases and then charged us back after the performance date. There is no functionality that my Chief IT Officer or I have been able to find within TMS/Adyen to limit which countries we are willing to accept credit cards from. We have a ticket in, but I wanted to make others aware of the situation, especially if your org is on TMS and has noticed increased chargebacks without yet digging into why.

I must say that I'm incredibly disappointed in Tessitura for pushing this payment processor so heavily when this has been our experience. Every presentation I have heard about TMS touts how many fewer chargebacks happen through TMS/Adyen, and that is not in any way our experience.

Sage Intacct integration

Does anyone who uses Sage Intacct have a Tessitura integration in v16? I know the API in v16 is much more flexible, so I'm hoping someone created an integration so I don't have to learn a lot of things very quickly.

Sage Intacct vs. Business Central

Our accounting software is currently Microsoft Dynamics, but we are looking to make a move to either Sage Intacct or Microsoft Business Central.

Does anyone on here use either of those products? If so, would you be willing to share your experience? We are especially interested in BC feedback but would appreciate any information.

Process for updating credit card expiration dates in TMS/P2PE-only environments

We are currently not TMS or P2PE-only, so directly updating a card is possible (though only by admins), but I'm wondering if anyone has a process for updating the expiration date for a card on file so that it can continue to be used for billing in a P2PE-only environment.

Huge amount of chargebacks that are clearly not fraud but change of mind - looks like scalpers

Hi Everyone,

The total $ amount of chargebacks from our bank has increased unbelievably since we opened a new venue this past summer. It looks like they purchase the tickets close to show, just at the limit of 6 and then fight as a chargeback, usually, but not always, when they have not been used. We think it is when they are not able to sell the tickets. There seems little we can do except pay the chargeback. We are in the process of setting up 3DS with our bank and Windcave and it is my understanding that this will put the responsibility on the provider - the card issuer - rather than on us, the merchant. It is new to us and taking time to get implemented.

We are wondering if other venues are experiencing this and what solutions have been implemented. Also are any of you using 3DS?

Max Refund Amount - what does this mean exactly?

We're looking at our user group policies and our max refund amount is currently set at the default of 999,999,999. Is that Max Refund the maximum amount you can refund in a period of time or an order or in total? I can't find an exact definition of it in the documentation.

What Accounting software does everyone use?

Hi, We are a non-profit museum that uses Tess and currently use QuickBooks Online. We have outgrown QB's and are looking at switching accounting software's. Our CFO wanted us to see what others are using as well as our policy requires us to look at 3 different quotes before we can make a request for larger purchases. We have demos set up with Activity HD Accounting Ware and Acumatica. We will need to use this system for PO's, AP, AR, Tess daily reporting as well as memberships/donations, budgeting, FA, and reporting. We know that Tess only integrates with Activity HD and while that would be a great feature it is not as necessary as being able to perform the necessary functions. Any thoughts would be greatly appreciated!

Refund Reason Tracking

Hey Finance Experts -

Does your organization track refund reasons in Tessitura? If so, how do you do that?

We are an outdoor museum so sometimes we close due to weather or things outside of our control. We would love to be able to track the reasons for each refund with the refund in the system.
