Package Price Different from Performance Prices? (in other words, by the package and get a class free)

My museum is offering an April Break set of kids studio classes. We want the ability to sell them as 3 separate classes, and as a package if the parents want. That part is easy enough.

My boss decided to "up-the-ante" per se by saying let's make the package cheaper. So each class will be $25, but if they buy the 3-day package its only $50. How do I build that where the package is a cheaper price and still get the attendance data to be correct? The attendance still needs to show that 3 tickets were sold for 3 different days.

Is this possible to build?

Facility Change Workarounds for Performance?

Hello,

One thing we are experiencing issues with is consistently needing to change locations of a performance (various internal bookings etc). Once a perf is built though, you can't change the facility once a price layer is set and/or tickets have been sold! When we need to change a facility, we try to make it clear on our website that the location is Location B not Location A, however the e-tickets/confirmation email that get delivered when you sign up still have Location A listed, which leads to confusion. Does anyone have an effective workaround for adjusting facilities that has worked for them? We try our best but can't guarantee every constituent reads the 'reminder on location change' email we send them ;)!

Tracking Ticket Requests for school groups/mainstage

Hi everyone, just wondering if anyone's found a solution for a similar program in Tessitura:

One of our largest programs distributes complimentary tickets to our mainstage shows for schools and community groups. Basically, there's a show listing on our website, and groups fill out a non-Tessitura form to give their information and request tickets. I take that information into a spreadsheet to keep lists for multiple performances at a time, as well as waitlists once requests exceed our capacity. One month out from a show, I send an email to groups to confirm their requests and numbers (which often change), then collect the finalized list of teachers and ticket requests, and pass that on to box office to finalize the "purchase" (which is just an internal transfer from education), and send the e-tickets to the teacher.

I'd love to be able to eliminate the outside form, but obviously we can't give groups direct access to tickets to mainstage shows and we can't immediately process the requests as they come in because the numbers often change as the performance draws nearer. Has anyone found a way to do this kind of thing more simply, preferably with Tess?

Patron Troubles with Edu Form Registration

Hi all! Wondering if anyone else has run into this issue -

We have the Education plugin/extension and while it normally works just fine, sometimes patrons report the form just not working. We've been unable to replicate the issue, but enough people have trouble with it that it feels significant. Sometimes there's an error message (usually a generic 'An error has occurred please try again later') but sometimes the form doesn't load and shows a blank screen.

Our general troubleshooting tips include using Google Chrome instead of other browsers, using a desktop instead of mobile, clearing the cache and history and restarting the browser, and sometimes just trying again later. It's also pretty inconsisten which one of those tips fixes the issue.

Has anyone else run into this issue of mystery, unreplicable errors with education forms?

Child Records

Hi,

I've recently been speaking to a lot of Museum Education teams who are using Tessitura and have heard from several a problem that my team has also experienced: our Family Programs team, which is our primary Tessitura user, continually struggles with the fact that we primarily track children, so there's extra work to be done on data entry to hook that child record to a household/ the relevant adult record. For instance, we have a large (265,000) youth membership for people ages 17 and under. Since we're signing up the child, the parent information is secondary to us, but Tessitura wants it to be primary. We've been trying to develop an online enrollment form (we have to do everything manually at present) but this is a big hurdle because the form would have to create a Parent record, a Household, a Child record and relate all of them appropriately.

Does anyone else struggle with issues around this?

Invoicing

Is there any software (such as Quickbooks) that folks use for the purpose of invoicing schools or businesses that are compatible with Tessitura? I find that the invoices/order confirmations that I download directly from the system lack a lot of information in some areas (i.e. payment details and payment date and our GST number). In other areas I want the downloaded confirmations to show less information (i.e. I don't want to to always show all seat numbers).

The only thing I have found on forums is that some folks use mail merging to import Tessitura data into Word of Excel. Is this the best way to import data, but have customizable invoicing? Thanks!

School District Information

Need help with setup of Add On item in the Education/Classes/Camps plug in.

If there is anyone out there that has purchased Tessitura's Education plug-in that uses the add-on functionality in the purchase path? I am looking for some assistance with the setup. I must be missing something because I can't get the add-on product to trigger.

The documentation only mentions adding the performance id of the add-on item as a content field (Single Registration Addon) on the trigger event. I have done this. Unfortunately when I add the content field, I can only get past the registrant selection page in the TNEW purchase path, and then I get nothing - no add on event, no registration form. Are there other steps that I am missing to make this work?

Any help would be greatly appreciated. Thank you!

School/Classes Platform with open API

At Ballet West in Salt Lake City, we have our Ballet West Academy with 4 campuses. We currently use iClassPro to schedule classes, students, tuition and fees. Unfortunately, iClassPro does not have an open API that allows us to plug in with Tessitura. We are curious if anyone else has a platform for classes they use and connect with Tessitura.

Teaching Artist Assignment Tracking

Hi there! Here at the Education dept. we are hoping to create a TA assignment tracking process so we can better understand the scope of our teaching artists' work individually and how they contribute to various projects across the organization. The assignment tracking needs to serve several purposes-

Program development- who works on what projects- from the perspective of the project or program
Work equity - are we being as fair as possible in offering work across the entire roster
Official record of accept/decline of work- this is important for labor relations on PT.
Details of assignments offered- both for reference knowledge and precedence for future work

Is Tessitura the right place to house this info? Has anyone done something at their organization? Or does anyone have any ideas on how to get started?

Hi there, everyone! My name is Katherine Tolbert, and I am the Community Engagement Manager for Starlight Theatre in Kansas City, MO. I’m dropping in with exciting news for all of us Tessitura users who specialize in education, community engagement, and audience development! Following TLCC 2022 and hearing from several colleagues that there just doesn’t seem to be a space for education and engagement practitioners to share ideas, successes, or concerns as other Tessitura users do, I reached out to the Tessitura team to inquire about creating an Education & Audience Development community group.

They’ve been awesome to work with and have agreed to create a new group just for us! All we need are one to two more individuals who would like to volunteer as co-chairs of the group to help welcome new members, facilitate conversations, and arrange meetup opportunities (likely virtual) during the year. Ticket Recipient Name in List Output Set

In list builder, I see the Ticket History Role, but I can't seem to retrieve the recipient name. I am wondering if anyone has created an output set element that displays the name for ticket recipient that they would be willing to share with me.

School Tour Bookings

Hello, folks!

We plan to sell our school tour performances in Tessitura for the first time this year. However, rather than purchasing a ticket per student, schools play a flat fee regardless of the number of attendees. So far the plan is to build a performance with only one seat available, but I was wondering if anyone else processed their education sales this way and what worked best?

Resource Scheduling for Classes - Pros and Cons

We are thinking of using Resource Scheduling, for room, supply and instructor management for our offering of art classes, and are looking for some feedback from anyone who is currently using it.

Specifically we were hoping to hear how these things work for you.

Initial Set up - Was it easy to do? How time intensive is the set up?
Changes/Amendments - for example changing an instructor or classroom assignment
Cancellations - Is it a simple matter to cancel a room assisgnment
Year over year, can you copy and reuse things from season to season

Group tour processes? Booking/scheduling/payments/etc.

Hi all, does anyone use Tessitura to schedule, book, and accept payment for tours, and have tips or tricks they can share? Bonus points if you're working with organizations/schools and have an easy way to handle those records and accept payment online with little manual work!

This is currently eating up a significant number staff hours at our museum. I'm a little surprised at the lack of optimization in the software. We previously used Explorable Places, which worked like a dream even though it could not give us many reports.

Biggest issues are:

A teacher/administrator can't set up an account for a school online so that their payment goes into the school record instead of the teacher's
There is no easy way for a teacher/admin to "request" a time within the system. They either need to email/call us or book an existing event. Our previous system had this back and forth request-confirm-book-pay workflow built in.
There is not an easy way to track what kind of tour is booked, outside of changing the name of the performance.

If anyone runs an efficient tour department in Tessitura, please let me pick your brain!

School Affiliations Data

I am in the process of overhauling our School Affiliates in Tessitura (this has never been done/set up since our pre-pandemic Go Live in 2019) so I am starting from scratch and am not a particularly experienced user.

Can anyone advise some user friendly ways of ensuring that the email address that is linked to an affiliation (i.e.not necessarily the individuals primary email) is usable in List Manager (or Extractions) and that the contact permissions for that Affiliated email address are not dependent on the general contact permissions set up for the individual. For example, the individual may not want to be contacted by the organisation on their primary address but is happy to be contacted on their secondary or work email address that is linked to their Affiliated School.

I was looking at possibly using a Contact point purpose called "School Affiliation" to clearly denote which email address should be used in relation to the affiliation... Then, if an affiliate decides they no longer want to receive emails in relation to the school, we would remove the contact point purpose. This set up would require us to ignore our standard contact preferences for that individual when pulling lists (using the contact point purpose as a kind of override to their general communication preferences....).

Can anyone advise if there is a better way of using the system for communication with School Affiliations. I think some organisations use "interest" attributes too but I wasnt sure how this alone would give us the correct email address to use for the individual for that particular type of communication and just seems like an additional tick box to have to administer?
