One hiccup we're currently working through is that we need the Constituent ID to display on the scanner so we can provide that to bar for billing purposes. In my testing so far, I can't find a way for that to display. The ticket number is what shows in NScan along with the Constituent name. If anyone has a way for constituent id to display, please let me know. Thanks!

Special Access Areas for Donor Lounges

Hi all!

Wondering if anyone is regularly using Special Access Areas to provide access to their donor lounges. What works well? What would you have like to known before setting it up for your organization?

We're planning on tying the access to each performance. Donors would scan their ticket at the entrance to the lounge to gain access.

Any thoughts or considerations would be great!

Hey all,

I'm seeking advice on setting up promo codes via donate2 forms for our upcoming benefit reading event. We want to offer complimentary tickets without adding a free button. I've tried setting the promocode price at 0, adding the correct performance ID and price type ID but I'm having trouble implementing it. I've also included: <promotext></promotext> into the text of the payment button I wanted to have a promo code attached to and no luck. Has anyone successfully done this in donate2 before? Any insights would be greatly appreciated.

I've checked both this: https://help.donate2.com/article/596-promo-code-inserts-text and https://help.donate2.com/article/589-promo-code-used-max but am not sure these help answer my question.

Flex2 Enhanced Flex forms don't currently have that functionality, but D2 offered to add it if we wanted. If your form has criss-crossed arrows followed by plus sign in the forms listing, it's the type form that doesn't have the functionality right now. Just tell Donate2 support if you're eager for it, and they may be able to add.

We do this regularly. Which D2 form are you using? When you test, are you getting an error message, or the form doesn't roll price to zero when promo is entered? I have used with ticket forms, but when I just tested with a Flex2 contributions form, I didn't get any message. This might be a bug, or possibly the feature hasn't rolled out that way. I'll put in a D2 ticket to ask.

Kaylin this is great, and also something we're interested in. We often have donors share their tickets with friends and we're okay if whoever gets those tickets wants to join the donor lounge for that event, but don't think we'll be able to do that in this instance.

Creating a custom extraction seems like an interesting workaround to ensure people who are supposed to have access get it. We are currently printing lists by event as well and from an attendance tracking and paper-saving perspective are hoping this new approach works. If you get to testing your approach please let me know how it goes!

We have also been in the process of doing this. The main problem I foresee is what happens when the donor does not have the tickets in their account? So the membership is attached to their account, but lets say their friend purchased the tickets that is not a member. So the NSCAN is going to say they aren't allowed in - so what is the backup to this? An ipad with a list of all of the members allowed in?

I currently have an extraction built that pulls in all of the donors and lounge executives that are allowed in. Our plan is to write a procedure that generates the extraction daily and overrides a list with the same name that the Special Access Area is looking at daily for the constituent IDs, rather than setting it up by performance. Currently, our team manually runs the extraction and prints out the list for all of the lounges (RIP trees).

Transaction Date Criteria set?

We are currently in v15 of Tessitura, and I'm looking to build some dynamic lists for automated emails based off of the date that a contribution was entered into the system, not the date it was given.

For example, if someone gives a gift via website on a Saturday, the funds are put On-Account and I process it Monday morning. The contribution date is set for Saturday, but I need the list to pull based on the date it was entered, Monday. Currently, I cannot find a criteria set that will help me get this. Does anyone have any fixes they've used or a custom set they've built?

"Pay-what-you-can" Gala Ticket Logistics / Classy?

Has anyone been able to successfully utilize a "pay-what-you-can" gala ticket through Classy or Classy Live?

We are selling typical Tables/Seats; a $500 'Show only" option and are offering a 'pay-what-you-can' option for some special constituents. We're having trouble with the logistics around the pay-what-you-can option and getting it to play nicely with the other seating options.

Using rankings for prospect research

Does anyone have experience of using rankings (within the research tab) for prospecting?

I have been thinking about introducing a ranking system that involves ticket spend, contributions, memberships, comms engagement, ticket seating areas etc., and would be very interested to hear if it's been done before!

We currently have a ranking system for member ticketing priorities that any new system would have not remain discrete from.

We have recently submitted a 5-year ask to a prospect. I am wondering what the best way is to capture that as a plan in History. Also, if we are successful in securing the donation, how should I record it in Contributions? Any help or suggestions would be appreciated.

If each campaign is meant to inhabit one fiscal year you could do that, but if this one special project is meant to encompass multiple FYs I would set it up in the Campaign section to run across the multiple FYs. For example, we have a Staging the Future campaign happening and Phase 2 of it began in August 2022 and will end in July 2026, so we've set it up like that with the Start Date and End Date:

If someone makes a pledge of, say, $50,000 to the campaign to be paid out across 5 years, I'd enter the pledge for this Campaign and create a schedule showing them paying $10k this year, $10k next year, and so on.

If this special project can't be spread across multiple FYs, then my recommendation would be to create a campaign for each FY of the project (FY24 Project, FY25 Project, etc) and then when the donor makes a payment put it into the correct FY campaign as its own payment.

So as long as the campaign you're using for the special project is set across the multiple years you need in the Campaign set-up, you should be able to enter the pledge in and then schedule the payments for each year. Does that make sense? In terms of capturing it in as a plan History, I would just tie put the full total pledge in as the received amount and then either put the payment breakdown in the notes or attach a document of the breakdown as a step.

Hi Tina, would the five year gift be applied to five annual campaigns (so a payment into FY24 annual, then another to FY25 annual, etc) or is the campaign itself set up as being a multi-year campaign (like a Capital campaign)?

So we also previously used designations, but ended up switching for a few reasons. Now I've created a system for us to use the Philanthropy section of the Research Tab. I created a Philanthropy Type called Sponsorship, then we use the activity to track what level of sponsorship (Company Sponsor, Production Sponsor, etc.), Donated To is the show (or the Series or the Season, depending on giving level), I marked the date as the first date of the FY the sponsorship is for, and track their gift amount in the Amount Donated field. If I need to pull a list for anything I've got the criteria available in list builder. Here's a screenshot of what it looks like for us:

Donor Show Recognition - Designations

Wondering if any other organizations list "producers" on different performances throughout your season, and if so - how do you track that?

A benefit we offer our $10k + donors is to be recognized as a Producer on one show during the season. They get some special opportunities at that show, including special recognition in that show's program. Because of this, we need to track this show in an easily reportable field. Historically, we've always used Designation to note the show they're producing. However, starting in our next fiscal year we want to use the Designation field exclusively for financial restrictions and donor intent. This takes away the Designation field for producer show.

Where do you track specific show recognitions? I want our gift officers to be able to easily see what show the donor is producing this year. Our Premiums radio button in the History tab is a little difficult to read quickly, so I'm hesitant to use that - very curious if anyone has any other ideas!

We allow our $10K+ donors to select an event to underwrite so it is similar. We track this in History/Activities with the date being the date of the event, the activity type being Sponsored/UW Event, Performance as Concert or Talk, Status as Sponsored/Underwritten, and Notes include the event title. Then you can run the Patron Activity Report with whatever range of dates you need and the Activity Type of Sponsored/UW Event.
