[RESOLVED] Donate2 And Promo Codes

Hey all,

I'm seeking advice on setting up promo codes via donate2 forms for our upcoming benefit reading event. We want to offer complimentary tickets without adding a free button. I've tried setting the promocode price at 0, adding the correct performance ID and price type ID but I'm having trouble implementing it. I've also included: <promotext></promotext> into the text of the payment button I wanted to have a promo code attached to and no luck. Has anyone successfully done this in donate2 before? Any insights would be greatly appreciated.

I've checked both this: https://help.donate2.com/article/596-promo-code-inserts-text and https://help.donate2.com/article/589-promo-code-used-max but am not sure these help answer my question.

Special Access Areas for Donor Lounges

Hi all!

Wondering if anyone is regularly using Special Access Areas to provide access to their donor lounges. What works well? What would you have like to known before setting it up for your organization?

We're planning on tying the access to each performance. Donors would scan their ticket at the entrance to the lounge to gain access.

Any thoughts or considerations would be great!

Using rankings for prospect research

Does anyone have experience of using rankings (within the research tab) for prospecting?

I have been thinking about introducing a ranking system that involves ticket spend, contributions, memberships, comms engagement, ticket seating areas etc., and would be very interested to hear if it's been done before!

We currently have a ranking system for member ticketing priorities that any new system would have not remain discrete from.

Transaction Date Criteria set?

We are currently in v15 of Tessitura, and I'm looking to build some dynamic lists for automated emails based off of the date that a contribution was entered into the system, not the date it was given.

For example, if someone gives a gift via website on a Saturday, the funds are put On-Account and I process it Monday morning. The contribution date is set for Saturday, but I need the list to pull based on the date it was entered, Monday. Currently, I cannot find a criteria set that will help me get this. Does anyone have any fixes they've used or a custom set they've built?

"Pay-what-you-can" Gala Ticket Logistics / Classy?

Has anyone been able to successfully utilize a "pay-what-you-can" gala ticket through Classy or Classy Live?

We are selling typical Tables/Seats; a $500 'Show only" option and are offering a 'pay-what-you-can' option for some special constituents. We're having trouble with the logistics around the pay-what-you-can option and getting it to play nicely with the other seating options.

We have recently submitted a 5-year ask to a prospect. I am wondering what the best way is to capture that as a plan in History. Also, if we are successful in securing the donation, how should I record it in Contributions? Any help or suggestions would be appreciated.

Donor Show Recognition - Designations

Wondering if any other organizations list "producers" on different performances throughout your season, and if so - how do you track that?

A benefit we offer our $10k + donors is to be recognized as a Producer on one show during the season. They get some special opportunities at that show, including special recognition in that show's program. Because of this, we need to track this show in an easily reportable field. Historically, we've always used Designation to note the show they're producing. However, starting in our next fiscal year we want to use the Designation field exclusively for financial restrictions and donor intent. This takes away the Designation field for producer show.

Where do you track specific show recognitions? I want our gift officers to be able to easily see what show the donor is producing this year. Our Premiums radio button in the History tab is a little difficult to read quickly, so I'm hesitant to use that - very curious if anyone has any other ideas!

Flex Header elements

Planned Gifts - Stewardship

Hello, all! Quick question for anyone who has insight on this:

Because planned gifts are not entered in as contributions, they do not show up on my colleague's stewardship report (Print Acknowledgement Letters) the following day. Does anyone know a workaround for this? Just some way that my colleague could be notified when a new planned gift is entered so they can be thanked appropriately. I'm just wondering if there's something that I'm missing that could be a quick fix. If not, it's not a huge deal - I can just notify her when I enter one in.

Switching the creditee on a pledge

Attributes with Drop Downs or Dates (in v16)

Does anyone have cheatsheat/reference documentation on adding/creating Attributes, specifically with drop down or date options (separate attributes)? I have been trying to create one of each and am getting nowhere. The Tessitura documentation is not really helping me (we've moved to V16 so I am referencing both 15 and 16 docs with the hope of understanding).

Tying Ticketing Benefits from Elevated Events to Memberships

Hello Everyone,

We have a unique situation here at BMC, where we have several galas over a summer that solicit contributions from donors that feed into specific funds.

We were very excited to use Elevated Events for these galas, but the contributions from these handful of galas need to feed into our main Donor Benefit Membership levels, as well as have different ticketing benefits for the season based on the level of giving. (I.e. Being a Bravo Sponsor at $5,000 for the Prelude Gala gets you access to 6 tickets to our Summer Season Festival at the performance of your choosing, listing in our summer magazine, etc.)

We now know that memberships are not tied to Elevated Events in any way, as per a support ticket recently.

Have any of you found a way to do this in a workaround somehow? We're aware of how to add memberships ad-hoc but any advice in this territory is greatly appreciated.

Donate2 Integration and Ack Letters - How do YOU do it?

For those of you that are integrated with D2, I'm hoping you can share with me how you manage the ack letter process between what D2 does electronically, and what you do in house either electronically or via usps.

We've just started our integration with D2 at the Museum and Memorial (I've worked with them before, but on a limited basis and it's been a while).

For example:

Have you set up specific appeals that you then don't let trigger ack letters for so that only D2 is sending the ack?

Do you create a list of Channel=D2 that you suppress when you run your ack letters reports?

Do you do something magical I haven't even thought of yet?!

Was just curious to know whether any of you had experience with either, or any other tools like these, and if you would recommend or not. Prices seem to be about $5-6k per year for each.

Donate Credit Card Fees

I've been looking through the TNew documentation, and can't find anything about this and am wondering if anyone has found a way to have TNew auto calculate an add on donation for the ticket buyers credit card fees. We are seeing this with other non-profit, and would like to explore setting it up on our site.

Fundraising event sales online - what do you use?

I'm researching better ways to sell fundraising events online. Currently I have TNEW forms that we make due with but they are far from ideal. I'm using the TNEW giving forms because we want the money to end up on the contribution screen. We have events of all different sizes throughout the year. At a basic level, I need people to be able to select the number of tickets they want and for the form to know how much to charge for that. For larger events I need to be able to collect guest names, dietary restrictions, seating info, etc. My questions are:

1. Is anyone successfully using TNEW giving forms to sell events in a way that is patron friendly?

2. If you aren't using TNEW forms, what other vendors are you using?

Using AUX Item to Sell Elevated Event Tix

Hello,

We're testing out the use of AUX items in TNEW to sell tickets to our Gala. The idea would be to sell tickets to a shell performance, return the purchase to an On Acct payment method, then use the amount to process the contribution.

Has anyone has found a way to automate the return of the ticket purchase? If we can automate that part, then there won't be any additional work for our team. I thought maybe the Event Cancellation Utility could be used, but that would release those seats and we might potentially oversell if those seats become available again. Does anyone know of a way we can stop a ticket that has been purchased and returned from being sold again--essentially placing a blackout hold on the returned seat so it can't be bought again? Maybe there's an easy way to do this, but if there is, I'm not aware of it.

I'm also open to better ways to sell the EE tickets online, but we're trying to avoid the contribute1/2 pages.

Pledge Payments Not Included in Total Giving Reports

Hi Tessitura Community!

I'm looking for any insight this group may have. I ran into this issue when pulling total giving for our EOY tax receipts. In List Manager, I didn't see a way to include payments made on multi-year pledges, so to capture an accurate total giving, I manually had to go into the pledge for certain constituents to add up how much they paid on their pledge in either the calendar year or our fiscal year.

Is there a better way to pull that information in a list or report? Let me know if I can give more clarification to my question. Thanks!

Gift Entry Process Question - Multi-Year Pledge W/ Membership Level

Hello Tessitura Community,

Our organization has recently switched to Tessitura for our fundraising and ticketing processes. In doing so, we have run into a number of changes between our old software (Raiser's Edge) and Tessitura's software suite.

One of these changes that has led to concerns (which in turn has led to me posing these questions and writing this post) is based around multi-year pledges with membership levels attached throughout the pledges duration. As an example:

Mr. John Smith has decided to sign a pledge for a total of $22,500.00 over the course of five years, broken down as follows:

FYE24: $2,500.00
FYE25: $5,000.00
FYE26: $5,000.00
FYE27: $5,000.00
FYE28: $5,000.00

However, Mr. Smith has given us a $5,000.00 payment along with his pledge to start. Due to the membership level of $5,000.00 per FY giving a membership status of "President's Circle Silver", he is to be recognized as a President's Circle Silver member until 2029 (after the final pledge payment of FYE28).

Here is where the problems arise, and my teammates and I are looking for other potential solutions.

When entering the gift, we had to make multiple separate pledge entries - one for each FY campaign. In each instance, upon applying the amount toward the pledge, the membership tab updated with a cumulative amount, which was ultimately bumping the membership to the next level (President's Circle Gold). I lowered the level back to President's Circle Silver for each pledge entry, until we got to FYE 2028, wherein a membership error became prevalent. It stated there was no membership level for the amount listed, due to the fact that it was adding onto itself with each pledge, and had superseded the limit amount of President's Circle Gold at that point.

In the end, we were forced to adjust the President's Circle Gold upper limit in order to accommodate the continually raising amount being added to the membership total with each entered pledge.

So, the question is - is there a better way to enter a multi-year pledge with recurring membership levels attached? Thank you in advance, and if clarification is needed, I am happy to provide it! It is hard to explain it all through text, but hopefully it is understandable.

Wealth Engine WebConnect Integration

Hello All! The Colorado Symphony is a new (technically returning) client of WealthEngine and we recently learned that the web-connect integration is not functioning correctly with Tessitura. Wondering if any other clients have encountered this difficulty or found a work-around to make the integration work.

Relatedly, happy to hear any tips and tricks on utilizing WealthEngine alongside Tessitura for prospecting!

I have some questions about form behavior since I'm new to the system...

Tribute Form – when checks/online gifts (via Stripe) come in now for tributes, I do the following:
- My question is…how does this form take the above process into consideration, or does it? Mapping to the Tribute fund is easy enough, but to track what tributes are coming in so that I can accurately report out notificants, I would create the source and attach the contribution to said source. I’m not sure how I would do that (besides the lengthy adjustment process) if the gift is auto-recorded via this form in Tessitura and not attached to the correct source. If adjusting the gift after the fact is the only way to remedy this issue, what systems can I put in place to make the corrections a bit more automated?
- Do the Honoree fields mean the same thing as Notificant? As in…the person or entity LO needs to notify that the gift has been made. If so, can we update it to notificant? Where would this information live on a gift record?
Other One Page Giving/Direct Mail Appeals
- Most direct mail giving is to Gen Ops, but I do create separate appeals for each piece throughout the year. Within each appeal is a list of sources (segments) that are then promoted to each person attached to the lists for each source. At TLCC, I recall seeing something where you could customize the URL to match the source number – I imagine this source code-based-URL could show up on the remit cards and in emails sent to the respective recipients. I don’t know how to do this, yet, but I can see where it would be helpful and possibly critical to me being able to accurately assess how well direct mail appeals perform.
Membership Form
- I assume we can update as our levels take shape (I don’t expect much movement here, if any, to be honest).
- I would need to update the structure in the Memberships module to mirror the structure here.
- Do we need to account for FMV of benefits anywhere? I’ve seen a few pages where the membership is listed with the tax-deductible amount in parentheses – I’ll try to source examples
- Do we need to add a decline benefits button anywhere?
