Open Space Discussions: The new venue experience

Please join us for our next Virtual Open Space Discussions coming up on Thursday, September 9.

More and more organizations are grappling with whether to require vaccinations for entry. How do you decide? How should we be preparing our venues and staff? In these virtual Open Space Discussions, we will hold space for participants to raise questions relating to vaccination requirements, contactless scanning, digital programs, and vaccine passports and policies. Open Space Discussions offer an opportunity for you to discuss what matters to you most with peers from across the arts & culture industry. Under our guiding theme of “The New Venue Experience,” we’ll create an agenda together, then break out into small-group conversations.

Time: 10:45am – 12:30pm EDT | 7:45-9:30am PDT | 3:45-5:30pm BST

This session will begin with 15 minutes of small-group networking to help you meet new friends before we start the opening circle for our Virtual Open Space Discussions. All are welcome to come early and participate in our networking time. You are also welcome to join us on the hour (11am EDT) when we will move into Open Space.

Digital Health Passes - Introducing New Ecosystem Partner Bindle Systems

We are excited to announce our new ecosystem partner Bindle Systems! This partnership enables member organizations to efficiently verify the COVID-19 health status of visitors, audiences, staff, and others who enter their facilities. These individuals can use the My Bindle app to take custody of their COVID-19 vaccination records and/or test results. This health data is then encrypted into digital credentials that participating member organizations can easily verify.

We have negotiated preferred pricing for Tessitura members who choose to use this service at their organization (and are able to in accordance with your local regulations).

*At this time, there are no plans to integrate Bindle to Tessitura.

Working Across the International Dateline

I'm not entirely sure where to post this, but my director has been put in a position of having to manage our organization (California, US), for the foreseeable future, from Australia. It occurred to me that there might be a fair number of people in the network who might have some experience working with colleagues on opposite sides of the International Dateline, that that there might be some community wisdom around handling that on a routine basis, choosing optimal working hours, staying current and responsive without burning out, etc. that I could pass along.

With subscription launches underway, how is your organization handling subscription renewals?

Please join us for a community conversation this Thursday at 4:00pm EDT that will help us discuss the value of saving subscription seats for your patrons next season. We will feature two Tessitura organizations: one who chose to roll over their subscription seats and another who chose not to. We’ll hear about the considerations that led to each of these approaches and the lessons learned. Then we’ll have time for questions and discussion, so that audience members can share other ideas and learn from one another.

We are often on the other side of the globe here (at present my boss is in the UK). Here are some things off the top of my head

Working out your overlap times when meetings can be scheduled
Creating a working timeline for deliverables that is transparent
Be fair and equitable about turn around times
Very clear boundaries on and off clock

Project management boards can help a lot so that you can see projects moving forward and collaborate without F2F

Set expected turnaround times when discussing projects (even small steps) to manage expectations.

Carmel Cardona will share her framework for practicing resiliency, along with understanding how to equip your teams with knowledge and practical strategies to build their own strength and adaptability.

Carmel is the founder of Stitch Your Parachute. She delivers training courses and 1:1 coaching in resilience, leadership, and professional wellbeing. Prior to this, she worked in leadership roles within the Tessitura community for over two decades, in the UK and Australia, including Sydney Theatre Company, British Film Institute, and the Roundhouse. Carmel has an MSc in Social Science, and has trained with the NeuroLeadership Institute and the European Mentoring and Coaching Council.

Physical Distance Best Seating Algorithm

Hi Everyone,

Following on to the Pop Up Skill Builder we had today about Physical Distanced Seating, we want your input on an algorithmic or automated approach to accomplishing this.

1. We want to build the automated feature if members will actually be able to use it and derive value from it. Is this something that you are thinking would be "nice to have" if you decide you can operate with reduced capacity, or is it something that would be required for you to successfully operate with reduced capacity? Keep in mind that automated doesn't necessarily mean it will be the most efficient or profitable way to do physical distancing, but may save you staff time or improve the patron experience. For those of you that saw the webinar, would you be able to reopen using the features we demonstrated?

2. If we build an automated physical distancing feature,do you have suggestions or considerations that we should take into account? We have, for example, considered allowing you to set a seating group X and Y offset, such that any seated group would have seats around it automatically held according to that offset, creating a buffer. What comments on that approach, or other suggestions do you have?

Following this thread as we would also be interested in an algorithm that would allow our patrons to SYOS and not allow disparate parties to seat next to one another. We've done a work around for our outdoor stage, but with a strong likelihood of moving indoors, it's definitely something we'd be interested in.

Justin will share re-induction and staff development plans for 2021 and Annie will be talking about how a buddy-up scheme will help and support those returning.

Kristian Clark Thanks for sharing the details on Coffee Roulette! I like that the groups are paired in advance in this format...I think it would take some of the pressure off of people that experience anxiety around networking. They'll know who they'll be speaking with ahead of time and have a chance to mentally prepare.

Hello all, just spotted this now.

Our Coffee Roulette was great, it was relatively simple as well, the way we did it was:

Our HR Team put a shout out for participants and put all of the interested names in a hat, they then pulled random names out of the hat and paired them up for a 20 minute coffee meeting in Teams.

They then sent a calendar invite to all paired up participants to make them aware of their day and time for the coffee meeting.

We had front of house staff chatting with members of teams they don't often get to interact with as well as calls between friends in different departments that haven't spoken in quite a while due to furlough etc.

Feedback was positive and we continued to have weekly rounds of Coffee Roulette so people got to speak to different people each time.

Contactless Check-in Symptom Screener App or Program Recommendations

I've also posted this in the

I'm wondering if anyone might have some recommendations for a check-in program that functions as a symptom screener app that they have used or are considering using? While I'm sure we're months away from even being able to do outdoor seated events, we want to be prepared when we can.

NSCAN definitely can take care of contactless ticketing but I have concerns about trying to do symptom and/or temperature checks on 100 people before a show! We've found the app https://www.fancheckin.com/ to be exceptional fro start to finish but for a small outdoor seated event of 100, it's very pricey.

Not sure if it is what you are looking for, but we just started using Proxclick/Proovr app. Only employees use it. We check in via the Proovr app and then scan a QR code and have a thermal screen of our temp.

Coffee Roulette was an idea mentioned by another member of my breakout group that sounded very fun! We didn't get long to chat about it, but he had mentioned that they randomly choose staff members to match up for a virtual coffee break. I was thinking the idea through for my organization and I thought we could do 2 or 3 person coffee breaks of maybe 30-60 minutes over Zoom where we match people up across the organization. I believe the person in my group talking about it was Kristian, but I do not recall his organization; hopefully he will see this and respond!

We also had suggestions of Musician matching games (faces with names I believe), you could do it in terms of matching up random things about a team member or a quirky function of their role, but now I'm thinking of it in terms of a fun social media game for musicians and their instruments too! My team at KWS also has our repeat virtual games night tonight where we meet on Zoom and play online games via Jackbox.tv for Pictionary/charades type games (requires one person to pay) although this requires a certain level of tech understanding and access to a smart device for the games (smartphone or tablet).

Other simple ideas we talked about were pre-digital concert talks with staff, bi-weekly all staff lunch meetings, sometimes with fun games or activities (last week at KWS was about ergonomics and your workspace at home), weekly team specific and all staff memos sharing positive feedback from patrons, staff recipes, other good news and so on.

I'd love to hear other ideas for teams of all sizes if anyone else would like to share! 🙂
