If something changes after you have published an event, you have two options depending on the situation: reschedule it by editing the event details, or cancel it if it is not going ahead at all. In most cases, rescheduling by editing is the better choice — it keeps the event page intact and preserves the existing registration list. Rescheduling an event If your event is moving to a new date or time, the simplest approach is to edit the event directly rather than cancelling and starting over. This keeps your existing registrations in place and avoids confusion for members who have already signed up. Navigate to the event listing in your community group. Look for the red More button above the total registrations field. If you do not see the More button, refresh the page once or twice and it will appear. Select More and choose Edit from the dropdown. Update the date, time, and any other details that have changed. Select Post to save and publish the updated version. Tip: After updating the event, add a comment on the event page letting attendees know what changed and why. Members who are already registered will appreciate the heads up, and it keeps the page transparent for anyone who finds it later. Cancelling an event Cancellation should only be used when the event is definitively not going ahead. Once cancelled, the action cannot be undone — so if there is any chance the event will be rescheduled, edit the date instead and update attendees via a comment. Navigate to the event listing in your community group. Look for the red More button above the total registrations field. If you do not see the More button, refresh the page once or twice and it will appear. Select More and choose Cancel Event from the dropdown. Once cancelled, the platform will automatically: Add a prominent cancellation notice to the top of the event page. Send a cancellation notification to all invited attendees. What to do after cancelling We recommend adding a comment on the event page to give attendees more context, for example, explaining the reason for the cancellation and whether you plan to reschedule. This adds a personal touch and helps members feel informed. The Community team can also follow up with a direct email to confirmed attendees as an extra step. Rest assured, nothing is wrong. This is expected behavior on the platform and does not impact your event or anyone&amp;#39;s ability to register. When you invite someone to an event, the platform assigns them a registration status. There are three possible statuses: Confirmed — the guest has responded yes and is attending. Declined — the guest has responded no. Expired — the guest did not respond within two weeks of being invited. Why does expired appear? The platform technically holds a seat for every invited guest for two weeks, giving them time to respond. If they do not reply within that window, their status is set to expired, meaning the platform is no longer holding a seat for them. This is an older technical feature of the platform that is not something we actively use, but it cannot be removed from the setup. In practice, it means nothing for your event guests with an expired status can still RSVP yes and attend. The expired label is simply the platform&amp;#39;s way of indicating that the automatic hold has lapsed. In short: Expired does not mean the person cannot attend. The most common is that your time zone setting needs to be updated. The other is that event times can appear differently in different parts of the page, which can be confusing even once your setting is correct. Step 1: Set your time zone By default, the community displays event times in UTC (Coordinated Universal Time). Setting your time zone tells the community to display all times in your local time instead. Hover over your name in the top-right corner of any page. Select Settings from the dropdown. Select the Options tab. Find the Time Zone field and select your local time zone from the list. Save your changes. Once saved, event times across the community will display in your local time — including in event listings and calendar downloads. Step 2: Understanding how event times are displayed Once your time zone is set, you may notice that the When section of an event shows multiple times. This is normal and expected! The community automatically displays the event time in two time zones : the time zone of the person who created the event, and your own time zone. If you are in a different time zone from the event organizer, you will see both times listed so you can confirm the time in your local time zone. For example, if you are in Central time and an event is created by someone in Eastern Time, it will show: 9 Jun 2026 11:00 AM to 12:00 PM Eastern Time (US &amp;amp; Canada) 9 Jun 2026 10:00 AM to 11:00 AM Central Time (US &amp;amp; Canada) In this case, the first line is the organizer&amp;#39;s time zone (Eastern), and the second is the time that applies to you; the one labeled with your time zone. Tip: If you are unsure which line applies to you, check the label next to the time — it will name the time zone explicitly. Your time zone will match whatever you set in Settings &amp;gt; Options. You can also select the Download to Calendar button on any event page to add the event directly to your calendar. The downloaded invite will reflect the correct time for your time zone, so it is a reliable way to make sure the event lands in your calendar at the right time. A note on event titles Some event titles include a time written out manually by the organizer — for example, 11am EDT / 4pm GMT . This is separate from the When section and does not update automatically based on your settings. If the time in the title and the time in the When section differ, always rely on the When section for the accurate, system-converted time for your location. Still seeing the wrong time? If you have set your time zone and event times still look off, try the following: Make sure you saved your changes after selecting your time zone — go back to Settings &amp;gt; Options to confirm. Refresh the page and check the When section of the event again. Check that the time zone you selected matches your current location. If you have travelled recently or work across time zones, it may need updating. Remember that the time in the event title is set manually and may not reflect your local time — always use the When section as your reference. They are open to all members and organized by product area and topic — covering areas such as ticketing, TNEW, fundraising, analytics, and more. You do not need to join anything to participate; if you have a question, you can post it in the relevant forum straight away. Forums are a good place to: Ask a technical question and get answers from peers across the Tessitura network. Search for discussions on a topic before posting — there is a good chance someone has asked the same question before. Share a solution or workaround that might help others. Tip: Before posting a new question, use search to check whether it has already been answered. Filtering by the Community tab is a quick way to find existing discussions on your topic. Community groups Community groups are focused spaces that you join based on your role, region, or interests. Unlike forums, groups have their own membership, discussions, events, and resources. They&amp;#39;re a great place to strike up conversations and network with your peers. There are three types of group: Regional groups — connect with Tessitura users in your geographic area, stay informed about local events, and build relationships with nearby peers. Topical groups — focused on specific subject areas such as TNEW, marketing, finance, or data. A good place to go deep on a particular area with others who share your focus. Affinity groups — built around shared identities and interests within the Tessitura community, such as Women in Tech or the Analytics Coffee group. Tip: Not sure whether to post in a forum or a group? As a general rule, use forums for product and technical questions where you want the broadest possible audience, and use groups for conversations where the regional or topical context matters. Ideas board The Ideas board is where members submit and vote on suggestions for new features and improvements to Tessitura products. If you have an idea for how something could work better, this is the place to share it. And if someone else has already suggested the same thing, adding your vote and commenting with your use case helps signal demand to the product team. You can browse ideas by product area, filter by status, and comment to add context or share your use case. The Tessitura product team reviews ideas on the board as part of the roadmap process. Job board The Job board lists open roles at Tessitura licensee organizations. Whether you are hiring or looking for your next opportunity, the board is a good resource specific to the arts and cultural sector community that uses Tessitura. Understanding how search results are organized will help you find what you are looking for much faster. How search is organized When you run a search, results are divided into three tabs. Each tab searches a different part of the site: Site Content — searches the main Tessitura website, including general pages and resources. Help System — searches Tessitura&amp;#39;s product documentation, webinars, videos, articles, training courses, and product updates. Community — searches discussions, ideas, questions and answers, and other content posted by community members. If your first search does not return what you expected, try switching tabs — the same search term can return very different results depending on which tab you are on. Tip: Looking for a peer discussion or a question someone else has already asked? Start with the Community tab. Looking for official documentation, a webinar recording, or a training course? Start with Help System . Filtering your results Each tab has its own set of filters to help you narrow down results. Community tab filters Type — filter by Discussion, Idea, Jobs, or Question and Answer. Time Frame &amp;amp; Date Picker — filter by past month, past quarter, or past year, or set a custom date range. Help System tab filters Products — filter by product area such as Access Control, Analytics, TNEW, or Tessitura Merchant Services. Topics — filter by subject area such as Ticketing and Admissions, Marketing, Memberships, or Business Strategy. Type — filter by Article, Course, Documentation, Product Update, or Video. Time Frame — narrow results to a specific period. Tip: If you are getting too many results, try combining a product filter with a topic filter to narrow things down quickly. For example, filtering by TNEW and Ticketing and Admissions will surface only content relevant to that combination. Tips for better searches Be specific. Searching for pricing rules TNEW will return more relevant results than just pricing . Check all three tabs. A question answered in a community discussion and an official help article on the same topic will appear in different tabs. Use the time frame filter. If you are looking for recent activity on a topic, filtering by past month or past quarter cuts through older results quickly. Try different terms. If a search is not returning what you expect, try a synonym or a slightly different phrase — for example, constituent matching instead of duplicate records . Can&amp;#39;t find what you&amp;#39;re looking for? If search does not turn up an answer, it is worth posting a question in the relevant community group. Here is the quickest way to get relief, followed by more detailed options if you want finer control. The quickest fix — unsubscribe from a group Most community emails come from groups you are subscribed to. If a particular group is generating too much email, unsubscribing from it is the fastest solution. Hover over your name in the top-right corner and select Settings . Select the Subscriptions tab. Find the group or forum generating the emails and select Unsubscribe from Discussions. Note: Unsubscribing stops individual emails for each new discussion or comment, but you will still receive email digests if you have those set up. See the Email Digests section below to turn those off too. Switch to a weekly digest instead If you still want to stay informed but do not need an email for every update, a weekly digest is a good middle ground. Instead of individual emails, you receive one summary of all activity across your groups. Go to Settings and select the Email Digests tab. Set your preferred frequency — daily or weekly — for each group. Save your changes. Turn off specific types of notification If you want to keep some emails but not others, the Notifications tab lets you choose exactly which activity triggers an email. Go to Settings and select the Notifications tab. You will see a list of activity types — new threads, replies, event updates, and more. Uncheck Email for any activity type you no longer want to hear about. Save your changes. Tip: You can keep live alerts on for activity you care about — these appear as pop-ups when you are logged in — while turning off email entirely. This article will help you get your bearings and make the most of your membership from day one. We recommend two things to start: completing your profile and joining the groups most relevant to you. Step 1: Complete your profile Your profile helps other members understand who you are and what you work on. A complete profile makes it easier for colleagues across the Tessitura community to connect with you and give you relevant, contextual answers. To update your profile: Select your profile icon in the top-right corner of any page. Choose Profile from the dropdown menu. Select Edit Profile . We recommend completing the following: Profile photo — a headshot helps other members put a face to a name, especially if you attend Tessitura conferences or regional events. Bio — a sentence or two about your role and the areas of Tessitura you work with most. Tip: Mentioning specific modules or functions in your bio — such as TNEW, ticketing, marketing, or finance — helps other members know when your experience is relevant to their question. Setting your time zone The community hosts events, webinars, and group activities. These display in your local time, but only if your time zone is set correctly. We strongly recommend doing this when you first join so that event times are always accurate for you. To set your time zone: Select your profile icon in the top-right corner. Choose Settings from the dropdown menu. Select the Options tab. Find the Time Zone field and select your local time zone. Save your changes. Tip: If an event time ever looks wrong, check your time zone setting first — this is the most common cause. Step 2: Join your groups The community is organised into groups by region, product area, and topic. Joining the right groups means your activity feed will surface the conversations most relevant to your work, without having to search for them each time. We suggest joining two types of group to start: Your regional community group — connect with other Tessitura users in your area, stay informed about local events, and find peers who share your regional context. Topical or affinity groups — these cover specific product areas, roles, and interests such as TNEW, ticketing, marketing, finance, and more. Join the ones that match your day-to-day responsibilities. To find and join groups: Select Community from the main navigation. Browse the group list or use search to find groups by name or topic. Open a group and select Join . Tip: You can join as many groups as you like and leave them at any time. Start with the ones closest to your core work and expand from there. What to do next Once your profile is complete and you have joined your groups, you are ready to take part. A few good next steps: Browse recent discussions in forums or in your groups to see what others are talking about. Use search to check whether a question you have has already been answered. Post a question or share an idea to the ideas board — the community grows through member contributions.
