Department
The John & Mable Ringling Museum of Art is located in Sarasota, Florida, and is a department of Florida State University. Learn more about The Ringling at https://www.ringling.org/about-ringling/careers/.

Responsibilities
The Database Specialist is primarily responsible for administering the museum’s Ticketing System/CRM.

Daily tasks would include:

Manages, configures, and supports Ringling Museum Enterprise Ticketing System/CRM.
Supports the Museum Information Technology department by providing technical user support to staff and installs and configures computer, telephone, and network hardware.
Oversees use of system by other departments, to ensure rules and standards are being adhered to for accurate system reports and database integrity while managing its use amongst multiple areas/departments within the organization.
Aligns Ringling Museum Enterprise Ticketing System/CRM priorities with those of the institution and Museum Stakeholders.
Researches solutions to complex problems and collaborates with other members of IT staff.

Less frequent tasks include:

Creates/Assists staff with creation of user generated content within the system to include entry and configuration of ticketed events, discounts/packages, membership related donation requests, and other similar day to day content.
Does backend administrative tasks within the Ticketing System/CRM.
Works with stakeholders to integrate the Ticketing System/CRM, with other enterprise systems, to provide better access to data.
Assists information Security Manager with ensuring credit card sales within the Ticketing System/CRM (ticketing and membership driven) are secure and maintain PCI-DSS (Payment Card Industry Data Security Standard) compliance.
Provides audio visual support.
Assists in implementation of new enterprise systems and provides staff training.
Uses golf cart to transport computer equipment.

Qualifications
Bachelor's degree in Computer Science, MIS, or other appropriate degree and four years' experience or a combination of appropriate post high school education and experience equal to eight years.
Please note that higher education can substitute for experience at the equivalent rate.

As this role works with vendors and stakeholders within the organization, important qualifications include:

The ability to effectively communicate (phone/email/in-person) information of a technical and non-technical nature.
Provide service with a people-first attitude.
Prioritize, organize and perform multiple work assignments simultaneously.
Utilize problem solving skills.
A valid driver's license or the ability to obtain prior to hire is required due to the need to drive state owned golf carts.

While helpful, these skills are not required to be considered:

Previous database experience.
Basic technical support experience
Previous experience with Tessitura (or another ticketing system/CRM)

Tessitura is an enterprise application used by performing arts and cultural organizations to manage their activities in ticketing, fundraising, customer relationship management, and marketing.

Post-Happy Hour Concert

Hey everyone,

Looking forward to meeting some of the group on November 3, and thanks to Francis and Amy for coordinating this opportunity to meet up. November 3 is also Sarasota Orchestra's first Masterworks concert of the season, and I'd like to invite anyone attending the happy hour to the concert afterwards at 7:30 pm at the Van Wezel Performing Arts Hall (just a few blocks from Downtown Sarasota.)

This is a fresh, exciting program for us featuring the festive Overture to Die Fledermaus by Johann Strauss II, Beethoven's era-defining Third Symphony Eroica, and Michael Torke's Sky concerto for violin and orchestra, written expressly for the featured soloist Tessa Lark to showcase her elegant tone and virtuosic bluegrass fiddling. You can learn a bit more about the concert here.

Abandoned Cart Email

Hello local Gulf Coast peeps!

Does anyone utilize Abandoned Cart? We are going to be using it for the first time at the Florida Orchestra. I've set everything up as per the Wordfly document.

I've been testing it the last couple of days. In List Manager I added elements Ticketing - Ticket History / Tickets Performance date and Ticketing - Ticket History /Tickets Performance Name to the Output. When I Export to CSV the list generates every performance the constituent got. The one today, there were 3 Abandoned Carts. The list generated 271 lines of data.

Why is it pulling all the extra data? What am I missing?

My name is Francis (Frank) Kelly and I am thrilled to join Amy Wensley as Co-chair of this inspiring community! Thank you all for your participation in the Gulf Coast Tessitura Community Group.

Many of you may already know me through my work at Asolo Repertory Theatre; however, I am excited to continue participating in the Tessitura Network and our Community Group through Sarasota Performing Arts Foundation (formerly known as the Van Wezel Foundation). Sarasota Performing Arts Foundation joined the Tessitura Network and launched with v16 on May 1 of this year. I am grateful to continue working alongside you and your incredible organizations.

Amy and I can not wait to connect with you through our Community Page, TLCC - Orlando (let’s meet up!), and especially at our Community Group event(s) that we are planning for the coming season. Please do not hesitate to reach out if you have questions, or have ideas for our Community events! ☺

We will distribute a survey to determine our 2023 in-person meeting date and location soon. We look forward to your responses!

Additionally, we want to extend a warm welcome to all the new Members to our Community and Organizations and thank the veteran members. Hello, friends! We are looking for our next Community Chair to help co-lead the Gulf Coast Tessitura Community with Amy Wensley.

If you are interested in professional growth opportunities and enjoy sharing new solutions and ideas with others, please consider joining us as a Tessitura Community Chair to lead this group! You’ll be surprised by the impact you can have on people’s lives, careers, and institutions.

The Role

Tessitura members come to community groups to expand their networks, share their expertise, and connect with peers around common interests. Community Chairs volunteer their time to build and lead these groups, and host meetups that bring members together to share best practices and build relationships. You'll:

- develop your leadership skills
- build valuable new networks
- take back tangible ideas and learnings to your work
- be recognized for your contribution internally at Tessitura and in the wider community
- and more...

Each community group is led by two to three co-chairs and may also have an extended planning team. Community groups are expected to meet virtually or in-person at least once per year.

Previous experience in group management or facilitation is not required. Tessitura provides initial onboarding, followed by on-going support and various resources. These include a dedicated Community Manager and invitations to events led by Tessitura, enabling you to connect with other Community Chairs globally.

Report for results of season package push? Revenue by Source and Appeal or?

Hi there,

I am in need of a little assistance pulling a report to get results of how 2 outside source codes did online for a specific season package push we did last month. I need the number of tickets and sales amount for both codes.

I've tried the below before reaching out to Tessitura. They suggested the Revenue by Source and Appeal. But that didn't really give my any results.

Revenue by Source and Appeal - which didn't yield any sales. I entered the Campaign, Appeals, Source Detail, Appeal Detail, with & without a List, Mode By Order/Contribution Appeal as well as By Transaction Appeal, Start and End Date.

Appeal Response - with the Appeal, As of Order Date & Mode of Sale which generated a report with less than 30 tickets for each of the codes. This is hard to believe with the high volume of email and mailers.

I'm trying to figure out if Extractions would work. I've read the guides but can't seem to figure it out. I've not used Extraction Manager.

Does anyone have any insight you can share?

Hope everyone is doing well. I have a short, personal message I will be posting here and with the Florida community.

I will be retiring on January 31st after 13 fantastic years with Tessitura. I thoroughly enjoyed working with many of you and meeting up over the past decade at community events, TLCC and tradeshows. Know that you are a very special group and I will greatly miss you all.

Ticket printing - no info printed on ticket

Hi,

Our box office manager set up a new GA facility. Everything appears to be set up correctly. Tickets have been sold. When she went to print the batch, the tickets printed with no info except on one set, the very first ticket print presented by The Florida Orchestra and a couple of then printed the word COMP only.

Tessitura has looked at the set up and suggested validating the map but no other ideas.

Does anyone have any insight?

I am excited to share that Tessitura has created a brand new group for Ticketing & Admissions professionals: The Ticketing & Admissions Topical Community Group! While the Ticketing & Customer Service discussion forum is a vital resource for many of our ad hoc questions, the goal of this new group is to create a welcome and open space for community-building amongst our colleagues who share similar positions. We hope to provide various community events throughout the year—social gatherings, educational sessions, and everything in between.

This conference truly brings back all my joy of going to theatre camp in the summer as a child and I can't wait to do it in person again. I know I sound like a brand ambassador or something, but for real, I have missed this and will happily be reading session descriptions in the airport later!

Scheduled Report issue

Hello,

We are having an odd issue with specific scheduled reports from Tessitura not being delivered.

A little back history. They we created by someone upon their departure from the company. Originally someone deactivated him then all the reports stopped being delivered. All the while he was still on the distribution list in the Schedule tap. When it was figured out someone else was made the owner.

This is where I come into the fold. I was updating the reports on Monday to delete someone who left last week from the list. At the same time I removed creator of the report from the list. The very next day the reports were not delivered. I have a ticket in with Tessitura and have spoken several times with my findings.

I added the creator back to the email list on the Schedule tab and the reports are being received. The department head kept his email account active until no longer needed.

The owner of a scheduled report as a creator can be changed from the Schedule Report window. The old owner may be inactivated without impacting the scheduled report.

I suggested to recreate all the affected reports and will end up doing so.

Has this happened to anyone that could share a resolution? I am currently creating a procedure for when someone leaves that has Admin rights and schedules reports.

Report that includes Sales Channel (I'm a newbie to Tessitura)

Hi All,

I am fairly new to Tessitura. I am trying to learn more about reports. I am utilizing the tools online for help.

I am trying to pull a report that would include the Sales Channel for our Season renewals. I can't seem to figure out what would pull it or if it is included in a report that I am not aware of. I've played around in List Manager as well as Reports/Utilities. This and other reports I'm using are only until I learn Analytics to be able to get my Organization using it.

Florida is open - what are we all doing?

Hi! Let me take a moment to introduce myself. My name is Katie and I am the new Ticket Services Manager at Asolo Rep. I just transplanted to Florida from Pittsburgh, PA where I was the Applications Administrator & Project Coordinator for the Pittsburgh Cultural Trust Consortium. Coming out of a very close knit consortium and arts community in Pittsburgh, I was hoping to find some community and knowledge sharing here, among the Gulf Coast Tessitura users. I know it would be super helpful for me to know how other arts orgs in the area go about the business of creating arts in this community. Additionally, we are undergoing some major shifts at Asolo Rep (currently searching for a new Marketing Director, if anyone wants to work with me!) so , being new to this organization myself, it would be good to have some other Tessitura peeps nearby that I could bounce ideas off of.

I hope everyone is coping well in pandemic life. I will say that waking up to sunshine and warmth instead of grey, cold, snow and ice definitely made January and February a LOT better than they would have been otherwise. So, hello! and hope to hear from some of you soon!

Last month we gathered via Virtual Open Space Discussions to discuss how we, as arts and culture professionals, can support the change that needs to happen in our organizations and in the field.

Bring your questions and engage in meaningful discussions with your peers around our theme “Anti-Racism and the Arts and Cultural Sector: A Moment for Response and Ideas, Continued.” This event is open to anyone in the community.
